General Description

The Human Resources Operations Specialist will be responsible for providing administrative support for the HR department, owning the pre-employment and onboarding processes, and maintaining employment records in our internal systems.

 

Additionally, this position carries out responsibilities in the following functional areas: regulatory compliance, departmental development, benefits, organizational development, and Associate customer service. The position is full-time exempt and will require at least forty (40) hours per week.

 

Specific Responsibilities

HR Administrative Support

  • Maintains Associate confidence and protects operations by keeping HR information confidential
  • Maintain all electronic filing
  • Maintain IFS Associate records – setup, termination, changes, reporting structure, employment periods, job titles, pictures, time entry questions, etc.
  • Oversee and maintain Career Development Program (CDP)
  • Maintain R.E. Mason and Apperture Solutions Organization Charts
  • Assist with compliance reporting
  • Track and maintain paid time off calculations and values
  • Schedule health screens annually
  • Assist with open enrollment meetings
  • Oversee company communications and manage digital bulletin board content, including announcements for new hires, promotions, internal transitions, service anniversaries, and other forms of Associate recognition
  • Own the pre-employment and onboarding process from start to finish
  • Perform and document 30 / 60 / 90 day check-ins
  • Provide a high level of client service interfacing with other departments while promoting a positive work environment

Recruiting Responsibilities

  • Initiate and track all new pre-employment tasks (background checks, drug screens, and physicals) until completion
  • Coordinate start date and schedule orientation for new hires
  • Plan travel arrangements for any new hires traveling to Charlotte for orientation and / or training
  • Ensure onboarding goes smoothly – scheduling, property assignment, ID badges, etc.
  • Reference checks for potential hires
  • Schedule interviews for internal and external applicants

Perform other duties as required or assigned which are reasonably within the scope of the duties in this job classification.

Some travel will be required. Use of a Company car or personal vehicle will be necessary. Proof of a valid driver’s license, an acceptable DMV record, and liability insurance is required

Qualifications

Required Competencies

  • Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines
  • Must be able to prioritize and plan work activities as to use time efficiently

  • Strong computer skills and aptitude including MSOutook, MSExcel and MSWord.

  • This is a hybrid role requiring three days per week in the office and two days working from home.

Required Education and Experience

  • Bachelor’s degree
  • Customer service experience

Preferred Education and Experience

  • Experience working in an HR department
  • Experience working with insurance
  • Experience working in a HRIS
