The Workplace Operations Associate at Pollfish, a Prodege company, plays a critical role in the success of the business by creating a smooth-running, safe, and welcoming office environment that supports both day-to-day operations and long-term employee engagement. This role ensures operational efficiency by managing facilities, vendors, and workplace needs with attention to detail and responsiveness. Through proactive problem-solving, well-executed events, and a clean, comfortable space, the Associate helps boost employee morale and productivity. Additionally, by supporting HR functions such as benefits administration and time-off tracking, this role reinforces the connection between operational excellence and a positive employee experience—contributing to a thriving, people-focused workplace culture.

Primary Objectives:

  1. Efficiently manage facilities and vendors to maintain a well-functioning office space.
  2. Identify and address office needs promptly to support a safe and comfortable work environment.
  3. Coordinate with vendors for various services like cleaning, safety, and healthcare to meet operational requirements.
  4. Organize engaging events and activities to boost employee morale and foster a positive workplace culture.
  5. Support HR functions through benefits administration and assisting with HR administrative tasks.

Detailed Job Duties: (typical monthly, weekly, daily tasks which support the primary objectives)

  • Collaborate with vendors for facility management and address maintenance needs promptly.
  • Identify and procure necessary office supplies and amenities.
  • Plan and execute office events and activities to encourage employee engagement.
  • Assist with benefits administration and handle HR administrative tasks like PTO and sick leave reporting.
  • Act as a welcoming receptionist to ensure a positive visitor experience.

  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities both in Greek and English
  • Ability to multitask and prioritize tasks efficiently.
  • Proficiency in MS Office or G-Suite  and other relevant software

The Nice to Haves: (ex: preferred additional skills, education, experience, certifications, licenses) 

  • Bachelor's degree in Business Administration or Human Resources.
  • Experience working in a tech company or similar industry, understanding the dynamics of technology-driven workplaces and their unique operational needs.
  • Familiarity with workplace safety regulations.
  • Experience in managing remote or hybrid work environments.
