Job description:
We are seeking a highly organized and detail-oriented individual to join our team as a Front Office Coordinator and scheduler. In this position you will be responsible for various clinical and administrative responsibilities while ensuring efficient and professional customer service to our patients.

Major Responsibilities/Tasks:

  • Answer and screens telephone calls in a courteous manner
  • Schedule patient appointments and procedures according to established policies and procedures
  • Comfort in speaking to patients regarding reproductive medicine
  • Obtain accurate demographic and insurance information from patients
  • Checking patients in and out of the clinic which may include explanation of benefits, collection of time-of-service co-payments, unpaid balances and complete patient intake paperwork
  • Process and post charges daily
  • Verify account balances for accuracy and provide information to patients regarding unpaid balances.
  • Prior authorization for surgical procedures and treatment
  • Follow up with insurance companies/internal departments to ensure that prior authorizations and other requirements are met in accordance with the treatment plan for patients
  • Creating and updating patient charts
  • Document records in appropriate sections of patient charts and keeps patient charts in proper order
  • Prepare patient charts in advance and complete patient charts when final
  • Data entry of office visits, consults and surgery including ICD-10 and CPT coding
  • Maintain files and records in a confidential manner
  • Maintain organization and efficiency of front office
  • Maintain patient confidentiality
  • Perform other related duties as requested or assigned

Qualifications:

  • High school diploma or equivalent required
  • Dependable
  • Reliable Transportation
  • Proficient in using phone systems and other office equipment
  • Strong knowledge of Computer and Software Systems and functions, proficient in Microsoft Excel and Word
  • Knowledge of medical terminology and insurance practices
  • Must have clear, customer oriented, professional communication/phone skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy in all work performed
  • Ability to multitask in a fast-paced environment while maintaining professionalism
  • Previous experience in a medical office setting required
  • Knowledge of basic arithmetic to make calculations, balance and reconcile payments processed, and complete data entry to document patient financial accounts
  • knowledge of HIPAA Law
