Los Angeles Reproductive Center (LARC) is looking for an organized, reliable Front Office Assistant who takes pride in keeping a medical office running smoothly. This role centers on patient service, administrative support, and maintaining an efficient, well-structured front office. Key Responsibilities
Front Office Coordination

Greet patients in a friendly, confidential manner.

Ensure new patients complete required forms and receive all necessary paperwork.

Verify, copy, and scan identification and insurance information.

Prepare charts, route superbills, and support smooth clinic flow.
-
Collect payments when needed.

Keep the waiting room and front office organized and presentable.
-
Other duties as assigned.
Phone & Appointment Support

Answer incoming calls promptly and professionally.

Schedule new and follow-up appointments following LARC guidelines.

Screen and route nursing or clinical calls appropriately.

Transfer laboratory calls to the designated Medical Assistant.

Provide clear, courteous communication to all callers.
Administrative Operations

Monitor and process incoming faxes; date-stamp and distribute accurately.

Manage daily mail pickup and outgoing mail at scheduled times.

Print daily schedules and prepare charts for the following day.

Prepare and send new patient welcome packets and marketing materials.

Call new patients with appointment reminders.
-
Copy and send medical records while maintaining accurate logs.

Support daily filing, chart preparation, and record organization.
-
Order and stock office supplies; monitor forms and materials.
Third-Party & Specialty Support

Notify nursing staff when donor or surrogate documents arrive.

Create accounts for Egg Donors, Gestational Carriers, and partners as needed.

Physical Requirements

Ability to communicate clearly in writing and verbally.

Ability to carry out essential job duties reliably.

Individuals with certain conditions (e.g., seizure disorders) must demonstrate stable control of symptoms for at least 24 months.
