Operations & Logistics Assistant
The Order Processing Assistant plays a crucial role in supporting various departments by performing administrative task, data entry, customer service, and inventory assistance. This position requires a detail-oriented and adaptable individual who can efficiently manage multiple responsibilities and provide backup support as needed.
Reports to: Lana Richmond, Director of Operations
Key Responsibilities:
- Data Entry and Documentation
- Accurately input, update, and maintain records in company databases and spreadsheets
- Organize and manage electronic and physical files to ensure easy access and retrieval.
- Review data for errors and inconsistencies, ensuring high levels of accuracy.
- Assist with scheduling, filing, and handling correspondence across departments.
- Process purchase orders or other transactional documents when necessary.
- Customer Service Support
- Work closely with internal teams to ensure customer requests are met efficiently
- Provide order status updates to those involved and resolve concerns promptly.
- Inventory Assistance
- Assist in monitoring inventory levels, reporting discrepancies, and ensuring stock is accurately recorded. .
- Help with labeling, sorting, and organizing materials to maintain an efficient workspace.
- Work with warehouse or supply chain teams to track incoming and outgoing products.
- Shipping & Receiving Backup
- Support shipping and receiving operations by verifying shipments and ensuring documentation accuracy.
- Assist with packaging, labeling, and preparing shipments for outbound deliveries.
- Help inspect incoming deliveries for damage and accuracy, coordinating with relevant departments as needed.
- Multi-Departmental Assistance
- Provide support to different teams as workload demands shift, ensuring smooth operations across all departments.
- Learn and adapt to various roles within the company to assist in peak workload periods or when coverage is needed.
- Coordinate with managers and team members to identify priority tasks and optimize workflow.
- Assist in miscellaneous tasks as needed to support business operations.
- Proactively seek ways to improve processes and enhance efficiency within the organization
Working/Physical Conditions:
- Environment: Primarily office-based setting with a mix of administrative and hands-on tasks involving
- Team Collaboration: This role involves frequent interaction with multiple departments. Occasional requirements for assisting in other areas as needed to ensure smooth operations and timely order fulfillment.
- Lifting: Must be able to lift and move items up to 90 lbs. regularly, with occasional heavier lifting as required.
- Active Work: This role involves long periods of standing, walking, bending, and moving items throughout the office and warehouse.
- Expected Work Schedule: Regular business hours, with occasional overtime during peak periods or special projects.
