Who You Are:

We are seeking a detail-oriented, organized, and proactive Office Administrator & Accounts Payable/Receivable Coordinator to support the smooth operation of our office and manage key financial processes. This hybrid role combines administrative responsibilities with financial coordination, ensuring efficient day-to-day operations and accurate handling of invoices, payments, and receivables.

 

What You Will Do:

Office Administration

  • Manage daily office operations, including supplies, mail, scheduling, and facility upkeep.
  • Serve as the first point of contact for office visitors, calls, and emails.
  • Coordinate meetings, travel arrangements, and company events.
  • Maintain office filing systems, databases, and documentation.
  • Support other departments with general administrative tasks.

Accounts Payable (AP)

  • Process vendor invoices and ensure timely and accurate payments.
  • Match purchase orders, receipts, and invoices to ensure proper approvals.
  • Maintain vendor records and respond to inquiries.
  • Prepare and process check runs, ACH payments, and wire transfers.
  • Reconcile AP accounts and resolve discrepancies.

Accounts Receivable (AR)

  • Generate and distribute customer invoices and statements.
  • Track incoming payments and apply them to the appropriate accounts.
  • Follow up on overdue accounts and manage collections process.
  • Prepare AR reports and support month-end closing activities.
  • Maintain accurate customer records and credit terms.

Qualifications

What You Need:

  • High school diploma or equivalent; associate or bachelor's degree in accounting, business, or related field preferred.
  • 2+ years of experience in office administration and AP/AR functions.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, Xero, or similar).
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.

Preferred Skills:

 

  • Experience with ERP systems.
  • Basic knowledge of bookkeeping principles.
  • Familiarity with expense reporting and budgeting tools.

The salary range for this position is: $46,182-67,320. Actual compensation within the range will be dependent upon the individual's skills, experience, education, qualifications, and applicable employment laws.
