Description

Reporting to the Senior Development Officer, the Event Manager is responsible for driving revenue and elevating the Museum’s profile through the seamless planning and execution of facility rentals, signature fundraising events, and institutional events. This position is the central owner of the Museum’s events calendar, ensuring all events are well-coordinated, properly resourced, and aligned with the Museum’s mission and brand. The Event Manager oversees the full lifecycle of events on Museum property from scheduling and logistics to vendor management and execution. This position must work evening and weekends and cross-departmentally to guarantee smooth operations.

ESSENTIAL DUTIES & RESPONSIBILITIES

Facility Rentals

  • Lead the Museum’s rental program to maximize revenue opportunities including prospecting, booking, contract negotiation, and flawless event execution (weddings, corporate functions, receptions, meetings, etc.)
  • Serve as the primary steward of the Museum’s events calendar, ensuring accurate scheduling, preventing conflicts, and maintaining balanced workloads across weeks and seasons.
  • Manage all logistics for rental: space setup, staffing, equipment (tables, chairs, AV), vendor coordination, and post-event breakdown.
  • Draft and track rental budgets and revenue goals, preparing reports and recommendations for leadership.

Fund Raising & Signature Events

  • Plan and execute all major fundraising events (e.g., Wine Auction, Circa, and other major initiatives, working closely with Advancement leadership to meet financial and engagement goals.
  • Oversee event budgets, sponsorship deliverables, vendor contracts, and promotional strategies.
  • Ensure all fundraising events reflect the Museum’s brand standards and deliver exceptional guest experiences.

Institutional Events & Hospitality

  • Plan and execute institutional events that advance the Museum’s mission and strengthen community and donor engagement.
  • Provide seamless hospitality and high-touch service for trustees, donor, VIP, and community partners.
  • Manage logistics including scheduling, space setups, staffing, catering, technical needs, vendor coordinator to ensure exceptional guest experiences.

  1. Frequently walking and standing for much of the day, walking across uneven terrain, climbing stairs, balancing, stooping, kneeling, crouching, crawling, reaching, and occasionally sitting, climbing, balancing and smelling with a moderate noise level.
  2. Events and programs may require standing for extended periods of time, walking, speaking, and hearing in noisy environments.
  3. Desk work requires sitting for extended periods of time, carrying, handling, fingering, talking, and hearing, eye/hand coordination, repetitive motions.
  4. Visual demands may require near acuity, depth perception, and being able to clearly see computer monitors, tablets, etc.
  5. Strength sufficient to exert force up to 50 lbs. occasionally and/or up to 25 lbs. frequently, and/or up to 10 lbs. constantly to lift, carry, push and pull or otherwise move objects.
  6. Work areas are primarily indoors, in a climate-controlled environment. However, the team member occasionally may be subject to outside weather conditions.
  7. Team members may be subject to many interruptions, pressure due to multiple calls and inquiries, meeting deadlines and working evening and weekend events.
  8. Wear personal protective equipment as required.
  9. Must be physically able to drive and possess a valid driver’s license.

Qualifications

QUALIFICATIONS

The successful candidate will be a proactive, highly organized event professional who thrives on responsibility, can anticipate needs, solve problems quickly, and deliver exceptional experiences without requiring close oversight. Evening and Weekend Availability Required for This Role.

  • Bachelor’s degree in development, event management, nonprofit management, or a related field.
  • 5-7 years of progressive experience required in event management, hospitality, rentals, or fundraising events, preferably in a nonprofit environment.
  • Demonstrated success to independently manage complex event logistics, budgets, and vendor relationships.
  • Demonstrated track record in meeting or exceeding revenue goals.
  • Exceptional organizational and time management skills with the ability to prioritize and juggle multiple deadlines.
  • Strong communicator with polished written, verbal and interpersonal skills.
  • Creative problem solver who can anticipate needs, make decisions quickly, and deliver under pressure.
  • Proficiency in Microsoft Office (Outlook, Excel, SharePoint etc.) is required.
  • Must be at least 21+ years of age and available to work evenings, weekends and a flexible schedule.
  • Manager Food Safety Certification is preferred and must be obtained within the first 30 days of employment.
