Description

The Upper School Deans’ office is supported by two administrative assistants. While their primary responsibility is to the Deans’ Office, both also provide secondary administrative support to the Upper School Learning Specialists and the Upper School Counselors who also office out of the Anderson Center.  The Deans’ Office Administrative Assistant reports to the Upper School Head Dean and works full-time, year-round. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

 

  • Greet and receive students, parents, and guests at the Anderson Center (office of Deans, Counselors, and Learning Specialists)
  • Answers incoming phone calls: answers questions; resolves issues; takes messages; and forwards calls to the appropriate party
  • Organize office area for efficiency, safety, and appearance in partnership with the Anderson Center staff
  • Perform administrative duties for four Deans: schedule meetings; print and updates meeting form; and pulls students' files as requested
  • Maintain student records and data in office files and online platforms including Veracross, MaiaLearning, and College Kickstart
  • Run queries in Axiom and MaiaLearning to gather data and pull reports as needed
  • Process and submit college application materials, as needed, and monitors applicant status
  • Cross checks and updates all Senior college decisions
  • Collect and input teacher recommendation forms 
  • Coordinate with Deans’ Office vendors like Maia Learning, College Kickstart, and Slate utilized for data input and management
  • Assist with special projects such as Honor Day and placement testing
  • Assist Testing Coordinator with PSAT and AP exams, including scheduling rooms and proctors, organizing materials, and communicating exam details with students, faculty, and proctors
  • Assist Learning Specialists with collection of materials related to student learning accommodations
  • Assist Upper School Counselors with administrative tasks including scheduling and receiving visitors
  • Fulfills expectations of other faculty/staff, including staff meetings, division meetings, and subbing as needed
  • Perform other duties as assigned
  • Support the work of the School, its mission, and its leadership

Qualifications

  • Bachelor’s degree is preferred
  • A minimum of three years of administrative experience in a school, including an understanding of the college admissions process, or not-for-profit experience preferred
  • Prior experience working with upper-school children preferred
  • Strong interpersonal skills, including discretion, patience, and confidentiality
  • Skilled communicator, both on the phone, in-person, and in writing
  • The ability to multitask in a busy, fast-pace office of eleven people
  • A collegial attitude and demonstrated ability to work in teams

  • Eagerness to grow professionally and remain current within the field
  • Demonstrated experience with databases management, record keeping, Google Suite, and inDesign
