Administrative Assistant to the Dean

SUMMARY

In support of the university’s mission and objectives, the Administrative Assistant to the Dean for the School of Health Professions provides administrative and operational support to advance the Dean’s academic and organizational priorities. This position ensures the smooth functioning of the Dean’s Office through effective coordination of resources, clear communication, and collaboration across academic and administrative areas.


Administrative Support 

  • Manages and maintains the dean’s schedule and meeting logistics ensuring effective time management.

  • Coordinates hiring tasks partnering with hiring managers in scheduling interviews and processing paperwork. 

  • Prepares and submits academic materials, including course catalogs, schedule reports, and letters of intent. 

  • Provides administrative support for special projects, events, and initiatives led by the Dean. 

  • Serves as liaison between the School of Health Professions and university systems, offices, and external stakeholders. 

  • Facilitates communication between students and the Dean, ensuring appropriate follow-up and resolution of concerns. 

  • Drafts and edits correspondence for the Dean. 

Financial Support

  • Assists in preparing financial reports and budget analysis. 

  • Completes and reconciles purchasing statements.

  • Tracks and processes travel expenses.

  • Manages all departmental account activities.

Operations and Office Management

  • Answers phones, greets visitors, and directs them to the appropriate person. 

  • Maintains office supplies inventory and equipment maintenance for daily operations. 

  • Liaises with Palm Beach Post officials regarding space needs. 

  • Assists faculty with IT and troubleshooting office machine issues. 

  • Coordinates events and projects for space usage by other departments. 

  • Participates in interdepartmental faculty development events.

Qualifications

EDUCATION:

Post high school training required; Bachelor's degree preferred, or equivalent experience

EXPERIENCE:

3+ years of administrative support experience required; experience in an academic setting, preferred.

  • Ability to sit for prolonged periods of time.
