This position is Monday-Friday based out of the Corporate office in Kennett Square and does not have any remote hours.

The Administrative Assistant provides critical support to the organization’s compliance program while serving as a key administrative partner to the executive leadership team. This role is responsible for conducting monthly sanction screenings, overseeing physician credentialing activities, and managing medical record requests. In addition, the Administrative Assistant coordinates high-level meetings, maintains compliance documentation, and manages the organization’s SharePoint site to ensure content accuracy, accessibility, and version control. The position requires discretion, strong organizational skills, and the ability to manage special projects with professionalism and attention to detail.
Duties & Responsibilities
- Perform monthly OIG, SAM, and state sanction checks for employees, vendors, and contracted providers, documenting and reporting findings.
- Support physician and provider credentialing, including initial credentialing, re-credentialing, and monitoring for compliance with regulatory standards.
- Coordinate and process medical record requests, ensuring compliance with HIPAA and other applicable regulations.
- Maintain compliance tracking tools, reports, and documentation repositories.
- Provide administrative support to the executive team, including scheduling, correspondence, and preparation of reports.
- Coordinate logistics for Quarterly Operations Meetings, Compliance Committee Meetings, IT Steering Committee meetings, and other executive sessions.
- Prepare and distribute agendas, compile meeting materials, record minutes, and ensure follow-up on action items.
- Manage executive calendars, prioritize scheduling needs, and assist with confidential communications.
- Serve as the primary administrator for the organization’s SharePoint site, ensuring accurate, up-to-date content and proper organization.
- Manage version control, workflows, and accessibility settings for compliance-related documents.
- Develop and maintain Excel trackers, PowerPoint presentations, and reports to support compliance monitoring and other project initiatives.
- Assist with cross-departmental initiatives, providing structure, documentation, and project coordination support.
