Position Summary:

The Jr. Contract & Grants Accountant will be responsible for preparing monthly grant/contract billings to federal, nonfederal and private grantors as well as maintaining grant budgets and preparing journal entries. Will collaborate with grant/contract agencies to ensure single yet full coverage of appropriate and eligible expenditures by available funding sources. Support service functions in the areas of grants accounting, grant management, preparation of monthly/annual journal entries related to grants receivable and grants revenue, various reconciliations and analysis. Also responsible for collecting pertinent information for third-party audits and is the first point of contact for grant accounting issues.


Essential Accountabilities:

  1. Thoroughly reviews incoming awards, prepares financial reports as per required schedules, identifies variances and analyzes issues of cost appropriateness and allocations
  2. Provide monthly progress reports and spending forecasts to grant program managers
  3. Applies knowledge of grant rules and regulations as well as GAAP to evaluate spending and counsel grant managers
  4. Analyzes various grantor revenue and expenditure reports and make appropriate recommendations to ensure compliance with budgeted projections and grant provisions
  5. Prepare grant billing reimbursement invoices, monitor and review accounts receivable for collection purposes of all grants
  6. Accurately and timely prepare reposts with back up documentation, including ad hoc request from various stakeholders
  7. Create, maintain and execute a highly detailed and accurate grant and contract record keeping within the grant management database
  8. Monitor collection of grant invoices and draws and contract funders as needed
  9. Complies and analyzes financial data for preparation of various costing, monthly and/or quarterly reports to federal, state and other related agencies for grant activities
  10. Support and communicate directly with auditors and grantors as needed
  11. Work with other members of the financial team to properly allocate and code expenses
  12. Assist with any outside financial or site visit audits

Qualifications

Minimum two-year accounting experience in non-profit accounting and grant/contracts billings or its equivalent. Possess good basic accounting skills.

Skills:

Must possess very high analytical skills, capable of producing timely and accurate work at all times and does not require close supervision from a supervisor. Must be able to follow instructions, highly organized and must be able to plan ahead on work assignments to meet deadlines. Must have a strong understanding of cash flow and the importance of a quick turnaround on revenue and cash in the door. Must own the complete revenue cycle of the grants and contracts billing. Must be able to multi task, be proactive and have strong initiative to make follow ups to complete work assignments on due dates. Must have excellent skills in Excel and working with accounting worksheets and formulas.
