Program and Role Summary:
Wayfinder’s Kinship Support Services Program is a kinship navigation service for grandparents, extended family members or close family friends who step up to raise children so they avoid the trauma of separation from their birth family. The program also assists kinship families that form voluntarily, without the assistance of a child welfare agency. Our program offers counseling, assistance with basic needs, support groups and workshops, respite resources and more. Kinship families are more stable, and children maintain their family connections, which produces better long-term outcomes.
The primary focus of the Program Assistant is to provide administrative support to the program and be responsible for record management services focusing primarily on live scan processes, data, and retention. This position provides various administrative and staff support services at the program level. The program assistant uses judgment based on experience to evaluate situations, develop solutions, and works collaboratively and independently to achieve assignment outcomes under program leadership.
Primary Responsibilities:
- Greets visitors, takes telephone calls and refers visitors and callers to appropriate staff or offices.
- Support to office administrative team with tasks as needed to ensure the smooth operation of the office, including but not limited to ordering supplies, operating a variety of standard office machinery, and maintaining inventory of office supplies, books, food, and beverages.
- Responsible for the live scan processing for resource family applicants and coordinating records, data processing, and retention.
- Organizes and files correspondence, reports, records, documents, and other material.
- Accounts for various documents for tracking purposes, telephone inquiries, training events, purchasing/returns, and generates reports as necessary.
- Supports program with collection/distribution of data, communications, coordination of meetings and materials, sorts, files all correspondence, reports, records, documents, or other materials, and searches files to retrieve information as requested.
