GENERAL SUMMARY:

The Medical Staff Coordinator ensures coordination, monitoring and support for the Medical Staff function and Administration of Klickitat Valley Health (KVH). The Medical Staff Coordinator’s primary responsibility is to ensure the credentialing and re-credentialing of the medical staff and allied health professionals are met, and are granted privileges to care for patients at KVH. This should be done according to the medical staff bylaws, policies, and standards established by the KVH Administration and Board of Commissioners and are consistent with the vision, mission, and values of KVH. The Medical Staff Coordinator demonstrates excellence in customer service during interactions with medical staff, allied health practitioners, KVH management, employees, etc. The Medical Staff Coordinator prepares information for the medical staff and the board by working collaboratively with colleagues and departments throughout the organization. Must also maintain a safe and clean work environment.

 

Qualifications

Minimum Education, Training & Experience (includes licenses or certifications):

Education / Licensure:

  • GED or High School Diploma required
  • Associates of Science in Healthcare Administration preferred
  • Knowledge/comprehension of basic medical terminology preferred. 
  • Good computer skills are required, as is experience with both word processing and spreadsheet software; experience with MedTrainer software is desirable.
  • Certified Provider Credentials Specialist (CPCS) or Certified Professional Medical Services Manager (CPMSM) required.

Experience:

  • At least three (3) years of recent full-time experience working in a medical staff office or administrative capacity as an administrative assistant, credentialing assistant, or similar responsibility is required. 

Skills/Knowledge/Abilities:

  • Requires critical thinking skills, ability to make good decisions (both administrative and procedural), manage/maintain and impart very confidential information, listen and accept advice from others, demonstrate maturity and good judgment and the ability to work with limited supervision.
  • Knowledge of medical credentialing, privileging procedures/standards and accreditation/certification requirements for medical and allied health practitioners; ability to interpret and apply regulations as defined by either state and federal law or other agency requirements.
  • Database/spreadsheet management and informational skills, including querying, reporting and document generation
  • Promote/deliver excellent customer service to both internal (medical staff/providers, management and staff) and external customers (visitors, outside agencies, vendors).
  • Demonstrate positive and effective interpersonal and communication skills with colleagues, patients, families, physicians/providers, volunteers and community.
  • Work productively, cohesively within a team and resolve conflict/differences in a positive manner.
  • Work in a stressful/demanding environment and take appropriate action to assist with medical staff/provider needs and functions, ability to cope with both physical and emotional demands of the job.
  • Maintain a calm and composed manner in emergency/stressful situations, taking appropriate action as necessary.
  • Demonstrate attention to detail, follow oral and written instructions precisely, and maintain a high degree of accuracy; risk of error could result in significant disruption or loss of medical care and service, as well as negative financial impact on KVH operations.
  • Excellent organizational, planning and implementation skills, along with multi-tasking skills, with ability to anticipate tasks and prioritize assignments.
  • Ability to read, write, speak and understand English.
  • Experience with using everyday computer electronic tools (e.g., email, data retrieval, voicemail, and internet/intranet).
  • Proficiency with basic computer programs including Microsoft Word and Excel, and have very good typing ability.
  • Adaptability is essential to manage the needs of a department with unpredictable volume and resources.

ESSENTIAL FUNCTIONS / RESPONSIBILITIES (but not limited to):

 

  • Coordinates and monitors the review and analysis of medical staff/provider applications and accompanying documentation for privileges at KVH, ensuring applicant eligibility, including verification of competence, medical/professional education, residency, internships, fellowships, relevant board certification(s), healthcare affiliations, work history, licensure/certifications, DEA certificates, malpractice coverage and privileges applicant is requesting, etc.
  • Conducts through background investigation, research and primary source verification of all components of the application file process.
  • Identifies issues/ questions that require additional investigation and evaluation; validates discrepancies and ensures appropriate follow-up for completion of credentialing process and accuracy.
  • Prepares credentials file(s) for completion and presentation to KVH’s Credentials Committee for recommendation and approval of appointments and privileges; ensures file(s) completion within time periods specified by medical staff bylaws or other policy.
  • Processes requests for privileges, ensuring compliance with criteria outlined in clinical privilege descriptions.
  • Responds to inquiries from other healthcare organizations, interfaces with internal and external customers on day-to-day credentialing and privileging issues as they arise.
  • Uses appropriate credentialing database, performs query, report and documentation generation process; submits and retrieves National Practitioner Database reports in accordance with the Health Care Quality Improvement Act.
  • Monitors the initial, reappointment and expirable process for all medical staff/provider members, ensuring compliance with regulatory bodies (NCQA, URAC, CMS, other federal and state agencies), as well as medical staff bylaws/rules/regulations, KVH policies and procedures and any delegated contracts.
  • Verifies that all licences, certifications, professional liability insurance, etc. are current and updated in appropriate data systems, ensuring compliance with medical staff bylaws, policies, procedures, and applicable regulatory agencies and laws.
  • Assists with credentialing audits or other internal audit file reviews; assists credentialing committee with development of privilege criteria, privilege delineations and other documents necessary to effect the credentialing process.
  • Provides supportive services to the medial staff leaders in fulfilling their responsibilities, developing policies and monitoring medical staff activities; notification and attendance of medical staff meetings, assists with agendas and material preparations; takes/records minutes of meetings, etc.
  • Organizes and maintains confidential credential files and electronic medical staff databases.
  • Completes emergency department provider monthly schedule and approves invoices for contracted staff.
  • Schedules all housing for locums/travelers and newly recruited providers and managers needing temporary housing. 
  • Provides training and support for Policy Medical.
  • Coordinates Medical Student rotations.
  • Answers telephone, takes messages and communicates with medical staff/providers and other employees regarding needs/requests and other hospital activity. 
  • Knowledgeable of and communicates information regarding hospital policy and procedures, while upholding the high expectations of KVH.   
  • Performs other duties as assigned.
