Description

The Clinical Recruitment Coordinator will support the OrthoMed Anesthesia recruitment team in identifying, tracking, and engaging top clinical talent. This role is primarily administrative and focuses on maintaining accurate candidate data, supporting sourcing and post-event outreach efforts, and ensuring smooth day-to-day operations within the recruitment process.

The ideal candidate is organized, proactive, and detail-oriented with strong communication skills and a genuine interest in supporting clinical recruitment initiatives in a fast-paced healthcare environment.


Key Responsibilities

Recruitment Operations & Data Management

  • Maintain accurate and up-to-date candidate information in the Applicant Tracking System (ATS).
  • Track candidate progress through each stage of the recruitment process and prepare regular pipeline reports.
  • Assist with job postings, requisition updates, and overall data accuracy within the ATS.
  • Help identify process improvements to streamline candidate tracking and communication.

Candidate Communication & Coordination

  • Schedule interviews, coordinate site visits, and assist with candidate follow-ups.
  • Send and track post-interview and post-event communications to ensure an exceptional candidate experience.
  • Assist the recruiting manager with maintaining consistent candidate engagement and timely updates.

Event Support & Outreach

  • Support planning and logistics for recruiting events, job fairs, and university partnerships.
  • Attend local recruiting events to help represent OrthoMed Anesthesia and engage with prospective clinicians.
  • Manage event lead lists, ensure accurate post-event data entry, and assist with follow-up communication campaigns.

Sourcing & Lead Generation

  • Conduct light sourcing on job boards, LinkedIn, and other platforms to help identify CRNA, CAA, and physician leads.
  • Assist in reaching out to potential candidates to confirm interest and update contact information in the ATS.
  • Collaborate with the recruiting manager to build and maintain a pipeline of qualified candidates.

Administrative Support

  • Provide general administrative assistance to the recruitment team, including calendar management, meeting coordination, and documentation support.
  • Assist with preparing presentations, tracking recruitment metrics, and maintaining marketing materials.
  • Ensure compliance and confidentiality of all candidate records and communications.

Qualifications

  • Associate’s or Bachelor’s degree preferred; equivalent experience considered.
  • 1–2 years of experience in recruiting coordination, HR support, or administrative roles (healthcare experience preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Applicant Tracking Systems (ATS).
  • Excellent attention to detail, organization, and follow-through.
  • Strong written and verbal communication skills with a professional, team-oriented demeanor.
  • Ability to multitask, prioritize, and work efficiently in a dynamic environment.

Work Environment

  • Location: Dallas, TX (onsite, with occasional local travel for events).
  • Standard weekday schedule, with some flexibility for recruitment events or conferences.
