The Project Operations Coordinator is responsible for providing support to assigned client account(s) in the area of ad trafficking, billing, time tracking, file management and internal process oversight with teams. The Coordinator will work closely with assigned account teams to understand the client communication and workflow process to add value in streamlining key processes with internal and external involvement. This role will work closely with Coegi’s billing and finance team to ensure appropriate documentation and processes related to billing of their assigned account(s). The Project Operations Coordinator will need to have an understanding of Coegi’s capabilities and knowledge of media platforms. They will need to understand how information flows from the client to the Coegi team, document necessary transition points and have a working knowledge of ad units to traffic information to the platform. This position is a hands-on role, working cross-functionally to own impactful collaboration points across departments within Coegi. Additional responsibilities may be assigned within the Project Operations department to support client accounts as a whole.Â

Essential Duties and Responsibilities. (Other duties may be assigned)
- Oversee and maintain systems for billing client accounts, from coordination of contracted budgets to client-facing billing platforms and internal finance platform
- Work closely with Account Director and Project Management Supervisor to support client accounts in the area of internal process, ad trafficking and billing coordination
- Be responsible for developing training materials and training new account team members on processes related to assigned accounts
- Owns client communication in regards to Coegi’s ElectPay billing platform, confirming payments and problem solving in the event of issues within the platform
- Maintains a working knowledge of Coegi’s processes, contracts and media platforms forÂ
- Work with the internal account team to understand time tracking across the assigned account(s). Pulling reporting data on time investment and helping to define the structure of time tracking as projects evolve and change.Â
- Manage the organization and naming of files on Google drive, and any other location where files need to be stored. Focus on key documents such as creative files from the client, media authorizations, tactical plans, creative specifications, client invoices, and campaign performance reports/decks
- Understand campaign needs to effectively traffic creative assets. Able to work with the internal trafficking software, Google Sheets, and Google Drive or an integration into other systems
