Summary

The Brooklyn Navy Yard Development Corporation (BNYDC) is a not-for-profit corporation that serves as the real estate developer and property manager of the Yard on behalf of its owner, the City of New York. BNYDC strives to provide an environment in which innovative companies can take root and grow.

The Senior Coordinator advances the Yard’s growth and visibility by executing event strategies, cultivating partnerships, and engaging key stakeholders. This role supports three core business areas: event rentals, film and photo shoots, and partnership events. In addition, the Senior Coordinator manages essential administrative and operational tasks and serves as a front-line ambassador, representing BNYDC to external partners, clients, and community members.

 

Areas of Responsibility

Events & Partnership Support

•Schedule and lead site visits for prospective clients, partners, and collaborators

•Oversee communications and the creation of agreements for clients and vendors

•Serve as the primary liaison across internal departments to ensure seamless event setup, breakdown, and logistics coordination

•Facilitate onsite events, acting as the main point of contact for clients and addressing any real-time needs or issues

•Assist with planning and executing special projects and initiatives led by the Senior Director

 

Film & Photo Shoot Coordination

•Serve as a secondary point of contact for inquiries related to film and photo shoots across the Yard

•Coordinate logistics including site visits, permitting, insurance, and scheduling

•Collaborate with internal teams to ensure minimal disruption to tenants and daily operations

•Support the development of promotional materials and documentation highlighting the Yard as a filming location

 

Administrative Support

•Help prepare presentations, reports, and briefing materials for internal and external stakeholders

•Maintain a client database and manage systems to track event inquiries, client engagement, and partnership leads

•Ensure receipt of all relevant permits, insurance requirements, and other additional paperwork and certifications.

•Manage vendor forms, ensuring invoices and payments are received, track expenses in shared documents.

•Collect and analyze data on event performance, audience demographics, and client feedback

•Develop strategies to build curated outreach lists of high-potential organizations, brands, and community groups

•Conduct research on prospective partners, industry trends, and best practices to support outreach strategies and departmental growth

Required Skills and Abilities

•Strong customer service skills, including professionalism, patience, and real-time problem-solving

•Excellent communication skills, both written and oral, with experience engaging diverse stakeholders

•Highly organized and detail-oriented, with strong project coordination skills

•Ability to manage multiple priorities and meet deadlines in a fast-paced environment

•Confidence with data, research, and preparing reports and presentations

•Proactive and resourceful, with a solutions-oriented mindset

•Genuine interest in people, partnerships, and community engagement

•Proficiency in Microsoft Office and project management tools

Qualifications

•Bachelor’s degree required. An equivalent combination of education and relevant experience will also be considered

•3+ years of experience in a client-facing support role

•3+ years of experience supporting event planning and/or film and photo shoot execution

•Experience in a fast-paced, mission-driven, public-facing environment preferred

•Physically capable of standing for extended periods of time, and ability to lift up to 30 lbs

•Availability to work a flexible schedule that includes evenings
