Position Overview:
The Student Account Specialist serves as the College’s primary resource for student financial accounts, fulfilling bursar-related functions within our small institutional structure. Reporting to the Controller, this role is responsible for managing student billing, collections, and financial aid disbursements, while maintaining accurate records and ensuring compliance with institutional, state, and federal requirements.
As the functional bursar, the Student Account Specialist oversees the full cycle of student accounts—including tuition invoicing, payment processing, loan disbursements, veteran student billing, and related reporting. In addition, this position manages cashiering responsibilities, reconciles accounts with the General Ledger, and prepares financial reports to support the College’s operations and compliance needs.
Success in this role requires strong attention to detail, confidentiality, and the ability to balance technical financial work with responsive, student-centered service. The Student Account Specialist acts as a key point of contact for students and families regarding billing and payment options, helping foster understanding and positive relationships while supporting the College’s mission of academic excellence and service.

Essential Job Responsibilities:Â
- Manage student accounts, including billing, tuition invoicing, collections, discounts/credits, and veteran student billing.
- Administer and reconcile financial aid disbursements and federal loan programs in compliance with regulations.
- Serve as the College’s cashier, processing payments, deposits, and daily cash reporting.
- Reconcile student accounts with the General Ledger and prepare financial reports.
- Prepare annual 1098-T tax forms and support financial compliance audits.
- Provide responsive, student-centered support regarding account status, billing questions, and payment options.
- Collaborate with internal teams to resolve student inquiries and continuously improve account management processes.
Qualifications:Â
- Bachelor’s degree in Accounting, Finance, or a related field, or equivalent experience.
- Minimum of three years of experience in accounting or finance; higher education experience preferred.
- Proven integrity, professionalism, and sound judgment in handling confidential information.
- Strong communication, interpersonal, and organizational skills with a customer service focus.
- Highly detail-oriented with a commitment to accuracy, efficiency, and results.
- Ability to manage multiple priorities and work independently with minimal supervision.
- Familiarity with financial record-keeping methods, procedures, and practices.
- Proficiency in Microsoft Word and Excel; experience with Microsoft Great Plains and student information systems (e.g., CAMS) is a plus.
