Primary mission:

To assist the Controller/Director of Finance in the Accounting Office & assist Purchasing Director/Manager pertaining to all computerized accounting systems, month-end closing reports and general ledger reconciliation. Records all business transactions and retains all accounting records. Posts, verifies, and reconciles accounts payable, accounts receivable, expenses, payroll, or other ledger accounts. Assists in preparing financial operations reports and will be AP Supervisor. Will also assist our purchasing manager with storeroom functions and be the property procurement specialist. Will work with department leaders with checkbook accounting and cost.

SCOPE OF WORK + TEAM

  • Reports primarily to property Controller and General Manager
  • Supports the Controller/Director of Finance with financial operations

RESPONSIBILITIES

  • Coordinate purchasing of items for the hotel; obtain price quotes and determine best value for purchase cost as needed or directed. Follow up with vendors as needed to facilitate timely delivery and resolve issues.
  • Promote teamwork and quality service through daily communication and coordination with other departments.
  • Determine and maintain hotel inventory levels as specified; complete timely and accurate month-end inventories. Maintain cleanliness and organization in all work areas and storerooms.
  • Inspect items upon receipt to ensure that quantity and quality of items are correct and acceptable; check invoices for correct prices and quantities.
  • Maintain internal controls over the requisitioning and issuing of items; adhere to purchase order system; deliver supplies to appropriate departments or storage areas.
  • Assist in the preparation of reports, cost summaries and/or analysis, and other paperwork as needed.
  • May perform additional purchasing-related duties such as assisting with updated pricing, maintaining purchasing files and records, investigating price variances, assisting in setting inventory levels based on turnover of supplies, etc.
  • Coordinate payment of invoices with Accounts Payable.
  • Enter AP and Receive Purchase orders.
  • Assist with Receiving documents.
  • Assist with special duties and projects as assigned or needed
  • To follow all company policies and procedures.
  • To immediately report all suspicious occurrences and hazardous conditions.
  • To maintain the cleanliness and safety of work areas at all times.
  • To attend all mandatory meetings as directed.
  • To perform other tasks, including cross-training, as directed.

Qualifications

EXPERIENCE:

  • Prior Experience:
    • 1+ Previous accounting/finance/audit experience of employment in a related position with this company or other companies in hotels or administration related work.
  • IT Expertise:
    • Advanced knowledge of computer software (including Microsoft Office, Excel, and Outlook) and web analytics tools is preferred.
    • Must have basic Excel, PowerPoint, Word; PC knowledge, minimum typing speed of 50wpm, ability to write and communicate professionally, bi-lingual fluency a plus; Must be hospitality oriented and possess the ability to work under pressure. Should possess the ability to complete multiple tasks simultaneously.
  • Education:
    • High School diploma or GED or related field or equivalent education  Experience preferred.

    • Must be able to convey information and ideas clearly.
    • Must be able to show initiative in job performance, including anticipating what needs to be done before it becomes a necessity.
    • Must work well in stressful, high-pressured situations, and maintain composure and objectivity under pressure.
    • Must be effective in handling problems in workplace, including anticipating, preventing, identifying and solving problems as necessary.
    • Must have the ability to assimilate compiles information, data, etc., from sources and consider, adjust or modify to meet the constraints of need.
    • Must be effective in listening to, understanding, and clarifying the concerns and issues raised by leadership.
    • Must be able to work with and understand financial information and data, and basic arithmetic functions.
    • Must be able to sustain composure, remain calm and possess a positive attitude.
    • Must be energetic and outgoing.
    • Must be service oriented with excellent customer service skills.
    • Must be able to follow directions with focus to detail, speed, and accuracy.
    • Must be a team player with the ability to work under minimal supervision.
    • Must be able to multi-task in a fast-paced work environment.
    • Must possess excellent interpersonal and organizational skills.
    • Must have basic knowledge of arithmetic.
    • Must have the ability to input data and access information on the computer.
    • Must have working knowledge of Microsoft Office
    • Must be able to read, write and understand the English language.
    • Must be able to exercise confidentiality and discretion.
    • Must be able to effectively communicate.

OTHER EXPECTATIONS:

  • Demonstrate a working knowledge of all company safety and security procedures.
  • Hours Required: Primarily scheduled during Springboard Hospitality business hours, Monday – Sunday within 8am – 6pm(PST) window, while understanding that the hotel business functions 24/7 and some weekend or holiday work may occasionally be required.
  • Occasional availability to work extended shifts and hours longer than 8 hours
