SUMMARY
The Payroll Clerk is responsible for accurately and efficiently processing both weekly and semi-monthly payroll schedules for all locations, while also managing payroll data and tax forms.
ESSENTIAL DUTIES
Essential duties include the following. Other duties may be assigned.
- Communicate effectively with all Company managers and convey any issues related to managers submitting payroll or payroll processing to the HR Director immediately upon occurrence.
- Create an official annual payroll calendar and review it with the HR Director.
- Gather payroll data from pay plans and timesheets after each pay period to process and deliver paychecks by each scheduled deadline.
- Ensures accurate withholdings on federal/state income taxes, FICA taxes, and municipality taxes on a monthly and quarterly basis.
- Ensure that Paycom is reporting/paying correct withholding amounts on quarterly 941, SUTA payments, State/Local taxes, and yearly FUTA tax bill.
- Deducting and remitting 401K contributions and Child Support/Garnishment orders weekly.
- Resolve payroll discrepancies and answer any employee payroll queries.
- Compile and prepare reports for managers and executives.
- Works with the accounting department to ensure that each job role is assigned to the appropriate labor expense account(s).
- Makes sure that Form W-2s and W-3s are accurate at year-end and delivered by the deadline.
- Follow all directives in the CBA relative to payroll.
- Avoid legal challenges by keeping up to date with Federal and State laws and legislation regarding employment law through reading professional publications or participating in educational opportunities.
- Follow all company policies.
- Keep up-to-date records in the HRIS system.
