Description

Title:  Schedule Coordinator 

We are looking for an individual with strong attention to detail and organizational skills to become an integral part of the Green Shoe team. The perfect candidate will be responsible for coordinating appointments, overseeing participant schedules, and facilitating effective communication among the clinical team, participants, and other administrative members. Reporting directly to the Executive Director and interacting with senior management, your primary focus will be supporting the Green Shoe Foundation team and participants, contributing to our mission of breaking the stigma surrounding mental health. 

  • Appointment Scheduling: Coordinate and schedule participant appointments based on clinicians’ availability and organization policies. 

  • Patient Communication: Communicate with participants to confirm appointments, provide necessary instructions, and address any scheduling-related inquiries. 

  • Record Management: Maintain accurate and up-to-date records of patient appointments, cancellations, and rescheduling in the scheduling system. 

  • Collaboration: Collaborate closely with the clinical team and administrative staff to optimize scheduling and resolve any conflicts that may arise. 

  • Verification: Verify participant information, and eligibility to ensure accurate scheduling and billing processes. 

  • Adherence to Policies: Adhere to established scheduling policies, procedures, and protocols to maintain consistency and efficiency in the scheduling process. 

  • Problem Resolution: Identify and resolve scheduling conflicts or issues promptly to minimize disruptions to participant care. 

  • Patient Experience: Dedicated to improving the participant experience through delivering exceptional customer service in scheduling interactions. 

  • Equipment: Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer 

  • Confidentiality: Maintains participants confidentiality and adheres to all Federal and State regulations regarding confidentiality. 

 

 

 

Qualifications

Qualifications: 

  1. Education: High school diploma or equivalent; additional education or certification in healthcare administration is a plus. 

  1. Experience: Previous experience in healthcare scheduling or a related field is preferred. 

  1. Communication Skills: Superlative verbal and written communication skills to interact effectively with patients and healthcare professionals. 

  1. Organizational Skills: Effective organizational and time-management abilities to manage numerous appointments and priorities. 

  1. Attention to Detail: Keen attention to detail to ensure accuracy in scheduling and record-keeping. 

  1. Computer Proficiency: Familiarity with scheduling software, electronic health records (EHR), and other relevant software applications. 

  1. Customer Service: Proven dedication to delivering outstanding customer service to participants and being mindful of the Green Shoe model.
