Front Desk Receptionist

We are seeking a Bilingual English/Spanish professional and organized Front Desk Receptionist to serve as the first point of contact at our Senior Living Waterfront community. This individual will manage front desk operations, greet visitors, applicants, handle incoming calls, assist Residents with repair request and call transfers. The ideal candidate is bilingual (English/Spanish), detail-oriented, and experienced in the Senior Living environment.

Work Schedule: Days some Eves and some weekends 

Key Responsibilities:

  • Greet and welcome visitors, applicants, residents and family members in a kind professional manner.
  • Answer and route incoming phone calls, take messages as needed, gathers customer information, and directs phones calls as needed.
  • Direct any over the counter sales inquiries to the marketing team member .
  • Performs daily sorting and opening of mail and distributes accordingly as needed
  • Processes outgoing mail 2-3 times per week or as needed (USPS, Fed-Ex, UPS) as needed
  • Contacts customers via phone and email to collect past due monies over 30 days as needed
  • Takes credit card payment information over the phone and provides to Accounting for processing as needed.
  • Updates and maintains accurate company phone list, census boards, parking assignments, hospitalization notifications .
  • Receive deliveries, gather all paperwork for purchases and provide to Accounting.
  • Fill and restocks paper towels, restrooms tissue paper, hand soap, etc. weekly as needed.
  • Maintains a clean and organize front desk-reception area.
  • Performs other related duties as assigned.

Required Qualifications:

  • High school diploma or equivalent; associate degree or administrative certification a plus.
  • 2+ years of receptionist or administrative experience, ideally in a senior living setting.
  • Bilingual in English and Spanish (preferred ).
  • Strong phone etiquette and interpersonal communication skills.
  • Proficient with Microsoft Office (Word, Excel, Outlook).
  • Ability to handle multiple tasks in a fast-paced, dynamic environment.

Preferred Qualifications:

  • Familiarity with Senior Living and Resident Rights.
  • Experience using office equipment (printers, copiers, multi-line phones).
  • Working knowledge of document management software (e.g., Procore, MS Suite, SharePoint, HubSpot) is a plus.

Physical Requirements:

· Prolonged periods of sitting at a desk/worktable and/or working on a computer.

· Bending, reaching, pulling, good hand-eye coordination.

· Must be able to lift up to 15 pounds at times.

Qualifications

ESSENTIAL FUNCTIONS OF THE JOB

  • Coordinate the activities of the reception team.
  • Ensure that every phone call is handled in a courteous and professional manner and that all visitors are appropriately attended to.
  • Responsible for directing inquiries accordingly.
  • Document any unusual events on the Daily communication Report for each work period.
  • Advise the Administrative Assistant if any essential administrative information and/or materials are needed.
  • Greet all residents and visitors in the facility.
  • Answer incoming phone calls and direct to proper extension or take messages
  • Fill out incident reports on residents /visitors as needed

 

ATTIRE

Receptionists will follow the dress code of the facility by wearing the appropriate uniform, which includes neat, clean, odor-free grooming.

WORK SCHEDULE

Receptionists report promptly to the assigned area at the start of each shift and become informed on the current condition of all assigned residents/patients.
