Position Purpose:

The Media department at AWM is looking for a highly organized administrative assistant to keep the department running smoothly and efficiently. This is a great opportunity to assist the employees in this department with diverse projects and provide general administrative support. Some of the responsibilities include acting as a liaison with HR to facilitate personnel changes, scheduling, and setting up meetings. The administrative assistant will serve as the eyes and ears of the office, providing information, answering questions, responding to requests, and representing the ministry well to others, internally and externally.

Essential Duties:

  • Schedule, book, and set up various meetings within the department.
  • Assisting the AWM Media department Director with day-to-day tasks.
  • Attend meetings to record meeting notes, distributing them to the Director or all attendees afterward.
  • Answer phone calls, and respond to emails and other digital queries and correspondence.
  • Research as requested, compile and summarize information for reports, presentations, and process maps.
  • Create folder structures, knowledge bases, and training pages on the AWM Media Internal SharePoint page, maintaining and updating the information.
  • Set up domestic and international travel arrangements, including hotels, flights, and rental cars.
  • Keep the department distribution list and Teams channels up to date when people leave and join the department.
  • Hand out Birthday and Anniversary cards each month.
  • Approve the AWM Media department’s top-line time off requests and add them to the Director’s Outlook calendar regularly.
  • Onboarding, offboarding, and other HR support – sort through applicants, initial phone interviews, submit requests for employee changes, write justifications, etc.
  • Oversee and maintain the Change Request form on Monday.
  • Assist with reconciling and approving credit card statements through UMB.
  • Plan events within the department, such as the annual Christmas party, farewell, and Birthday celebrations.
  • Maintain and deliver the AWM Media org chart monthly for SharePoint.
  • Submit Payment Requests for invoices.
  • Create monthly budget Excel sheets to distribute to each team lead, and keep track of department spending through Sage Intacct.
  • Oversee the Purchase Approval Monday board for the AWM Media department.
  • Handle Craft Services for a variety of shoots and events, ordering, picking up, and serving food to crew and talent.
  • Create contracts and legal agreements for contractors working with the AWM Media department.
  • Keep the hospitality area well stocked with snacks, drinks, and paper products for upcoming shoots.
  • Other duties as necessary or assigned.

  • Good verbal and written communication skills.
  • Ability to handle personal, sensitive, and confidential information discreetly.
  • Must be able to effectively operate a Windows-based computer and navigate Microsoft Office Suite.
  • Ability to access and prioritize multiple tasks, projects, and demands.
  • Ability to work well within a team environment and also with little supervision.
  • Strong time management skills.
  • Excellent problem-solving skills.
  • High comfort level working in a fast-paced environment.

Requirements:

  • Must have a personal relationship with Jesus Christ.
  • Must sign the Statement of Faith.
  • A high school diploma or equivalent education is required.
  • Charis Bible College student or graduate is preferred.
  • Must pass all required checks.

Experience:

  • 1+ years of experience in an assistant role preferred.
  • Compensation is commensurate with experience.
