Founded in 1995 and headquartered in San Leandro, California. With deployment centers in Alameda and Santa Clara counties, Westmed supports a wide range of services including Neonatal for major hospital systems, jail and court transports, psychiatric patient transfers, and low-acuity 911 response support in partnership with Santa Clara County. Additionally, Westmed delivers primary EMT, Advanced Life Support (ALS), and Critical Care Transport (CCT) services for the Santa Clara County hospital system and other regional healthcare facilities.
Summary:
We are looking for a highly organized and detail-driven Billing Coordinator to support the financial operations of a large government contract. This role plays a critical part in ensuring accurate and timely invoicing, maintaining billing schedules, and facilitating smooth communication between internal teams and external stakeholders. The ideal candidate will be comfortable working with structured processes, managing multiple billing files, and navigating complex approval workflows.
In addition to core billing responsibilities, this position involves insurance verification and follow-up with external stakeholders for key billing paperwork, requiring a proactive approach and strong coordination skills. The Billing Coordinator will also participate in monthly virtual reconciliation meetings, presenting invoice status updates and collaborating with various customer representatives.
Key Responsibilities:
- Create and deliver several separate invoices monthly to a government contract customer.
- Maintain and update several billing schedules, ensuring alignment with approvals and denials.
- Manage and upkeep several Excel billing files, coordinating with stakeholders for accuracy.
- Conduct quarterly audits of billing schedules to ensure compliance and accuracy.
- Update the Invoice Status Tracking Sheet on a monthly basis.
- Present billing updates and reconciliations in monthly virtual meetings with various customers.
- Follow up with external stakeholders for key billing paperwork to ensure timely processing and documentation.
- Perform insurance verification as part of the billing workflow.
- Communicates effectively and professionally with all referral sources, the Billing Department and Operations
- Other billing related responsibilities as assigned.
Requirements:
- High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
- 1–3 years of experience in billing, invoicing, or administrative support—preferably in a healthcare or government contract setting.
- Working knowledge in Microsoft Office (Outlook, Excel, and Word)
- Demonstrated ability to problem-solve and multi-task
- Experience with insurance verification and PCS forms (especially SCVHHS) is a strong plus.
- Experienced in ambulance industry desired
- Experience with RescueNet Zoll CAD desired
