Description

The Grants Billing Specialist works in partnership with the Finance Department and is responsible for supporting grants management and administrative activities while supporting the advancement of the mission of ForKids. The Grants Billing Specialist will be responsible for preparing grant reimbursement requests within the agencies grants task management system and working with the grants team to ensure accurately as well as timely reporting/billing. 

RESPONSIBILITIES

Grants Billing:

  • Maintain monthly grant billing information and tracking spreadsheets along with due dates and billing requirements for assigned grants.
  • For assigned grants, ensure that all billable grant expenses are properly tagged and accounted for by source in the accounting system.
  • Reconcile activity between tracking spreadsheets and the accounting system for accuracy and completion.
  • Create bills for grants as required per award or contract and track progress towards awarded budget by line item.
  • Ensure that adequate supporting documentation is maintained and submitted where necessary, for grant reimbursement request.
  • Assure grant bills are scanned, copied, transmitted and filed via grant requirements in order to. meet specified deadlines.
  • Develop a good working understanding of each assigned grant program’s goals and strategies, and what each program will consider funding.
  • Utilize the Grants Task Management System to ensure all required grant reimbursement request documentation is maintained and readily available for monitoring and audits.
  • Update and maintain tracker for billing deadlines with current grant awards information.
  • Update and maintain Active Grants Billing List with relevant information.
  • Cross train in accounting and serve as a backup to the accounting assistant.
  • Other duties as assigned.

Accounting:

  • Prepare journal entries as needed.
  • Other projects as directed for Finance.

Administrative:

  • Other duties as assigned.

Customer Service:

  • Provide service to internal and external customers according to standards as outlined in ForKids Customer CARE Manual. 
  • Handle confidential information professionally, discreetly, and appropriately.

Financial Management:

  • Use agency resources (financial and non-financial) prudently.
  • Acknowledge and follow the financial policies of the agency.

Community Engagement:

  • Participate in development and fundraising activities as needed and requested (ex: meeting with donors, providing tours, attending fundraising events).
  • Regularly engage, support and collaborate with volunteers to provide meaningful experience

Qualifications

Education and Experience: Associate’s degree in related field or equivalent work experience desired.  Proficiency using Excel and Adobe Acrobat in a business setting required.

Essential Functions, Knowledge, Skills and Abilities:

  • An organized mindset and attention to detail
  • Proficient in Adobe Acrobat
  • Proficient in Microsoft Office Excel, Word and Outlook
  • Ability to research effectively in multiple mediums, especially electronic.
  • Ability to work independently and as a member of a team.
  • Ability to work well with multiple deadlines.
  • Strong Bookkeeping skills
  • Valid driver’s license with no more than three minor driving violations and/or accidents combined within the last three years, and no major moving violations in the past five years.
