Description

The Account Manager works within the Business Office and reports to the Controller and/or CFO. The Account Manager is responsible for assisting with the maintenance of General Ledger accounts and the processing of business transactions of the organization. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

General responsibilities include the following; other essential duties may be assigned to meet business needs.

    • Manages Accounts Receivables including: setting up billing codes and payment plans, posting tuition and/or ancillary fee charges and payments to family account in Tuition Management.
    • Manages weekly manual accounts payable checks and positive pay files
    • Assists with ACH/Fraud protection review and analysis
    • Verifies deposits match cash receipt report and assists in reconciling and differences with amounts transferred to bank.
    • Assists parents with billing questions and set up of accounts for new students.
    • Prepares monthly collection letters, emails and phone calls on past due tuition accounts, including follow-up.
    • Maintains contract and tracking database for all families with students enrolled in school.
    • Prepares and deposits all miscellaneous checks using the remote deposit machine.
    • Process all student payments and posts their tuition fees to family accounts. Includes allocation and set up of yearly codes to ensure accurate GL posting.
    • Communicates and collaborates with Admissions to verify and ensure accuracy of new and existing enrollment and TA granted compared to budget.
    • Prepares financial information pertinent to re-enrollment to be communicated to parents.
    • General support of Finance Office staff
    • Adheres to NRS policies, procedures, and guidelines; as well as applicable industry and employment regulation
    • Assist with all other annual audits with preparation of supporting documentation.
    • Assist with the preparation of all annual surveys (NAIS/DASL, NBOA, Cal-ISBOA, EEO1, PSA).

ADDITIONAL DUTIES AND RESPONSIBILITIES:

Assist in special projects as assigned by Immediate Supervisor

    • Develop and maintain an excellent working relationship with other organizations, ensuring the school is well received and presented professionally and positively
    • Performs a variety of clerical and accounting functions as needed
    • Respects confidentiality of all personal and organizational information.
    • Reports to work on time.

    • Assists in other duties as needed and directed by the Administration Department

Qualifications

Knowledge, Skills, and Abilities

    • Advanced computer skills in relation to Accounts Receivable management, Microsoft Word, Excel and database management
    • Experience in Blackbaud's Education and Tuition Management and Student Billing preferred, or, similar Customer Relationship Management (CRM) software experience.
    • Must have strong interpersonal communications skills, and judgment and discretion with confidential information
    • Excellent written communication skills
    • Ability to balance, prioritize and handle multiple projects and requests
    • Ability to work independently

Education

    • Associate's degree, or equivalent from two-year College/ technical school in Business Management, preferred
