Job Summary:

The Benefits & Payroll Specialist will support the HR and Payroll teams by managing employee benefits programs, ensuring compliance with tax regulations, conducting internal audits, and assisting with HR-related functions. This role requires a high level of attention to detail, a strong working knowledge of benefit laws, and experience working within Paycom and Microsoft Excel. The ideal candidate will also have experience handling multi-state, multi-entity payroll in a dynamic, fast-paced environment.

Duties/Responsibilities:

  • Serve as the subject matter expert for employee benefits programs, including medical, dental, vision, life, disability, and 401(k)

  • Maintain compliance with federal and state laws related to benefits and payroll taxes (ACA, COBRA, ERISA, IRS regulations, etc.)

  • Manage and process multi-state, multi-entity payroll in compliance with all applicable regulations

  • Assist with annual benefits renewal and open enrollment process

  • Submit employee changes and updates to benefit providers and ensure accurate deductions in Paycom

  • Review and reconcile benefit invoices and resolve discrepancies

  • Prepare and submit benefit-related tax forms and filings, such as 1095-C and 5500

  • Conduct internal audits (benefits, payroll tax, employee records) and support external audits as needed

  • Generate reports in Excel and Paycom related to benefits, deductions, and compliance

  • Support HR and Payroll teams with projects, compliance updates, and employee communication

Required Skills/Abilities:

  • Strong understanding of employee benefits administration and tax compliance

  • Hands-on experience with multi-state and multi-entity payroll processing

  • Proficient in Paycom and Microsoft Excel (pivot tables, lookups, data validation, etc.)

  • High level of accuracy and attention to detail

  • Excellent organizational and written communication skills

  • Ability to handle sensitive information with confidentiality and professionalism

Education and Experience:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in HR, Business, or related field preferred

  • 3+ years of experience in benefits, HR support, or payroll tax compliance required

  • Experience conducting audits or handling compliance reporting is strongly preferred

  • HR certification (PHR, SHRM-CP) is a plus
