Job Summary
 
This role provides comprehensive administrative support within the Office of Academic Affairs. Key responsibilities include coordinating faculty publication events, managing marketing and scheduling, overseeing part-time staff, and supporting academic department administrative assistants. The position also involves maintaining faculty records, assisting with onboarding graders and readers, facilitating departmental training, supporting commencement and other institutional events, and managing general office operations such as supplies, IT and facilities requests, and calendar coordination.
 
Duties/Responsibilities
  • Manage faculty publication promotional events
    • Create and maintain publication event work orders
    • Create and distribute marketing for each event
  • Oversight of part-time staff within Academic Affairs.
  • Prepare and send out the Academic Calendar
  • Support academic department administrative assistants, coordinate regular training events, maintain admin Team, and facilitate new administrative staff training.
  • Assist in managing faculty, adjunct, visiting, GTA, reader, and grader data for Academic Affairs
    • Assist in maintaining faculty lists
    • Complete administrative onboarding process of new graders and dissertation readers for Academic Affairs
    • Create and maintain physical and digital files for faculty, adjuncts, and GTAs
  • Support annual audit of Acad-Dean shared drive security.
  • Assist in Commencement events; Chapel, BBQ, and Commencement Ceremony as needed. 
  • Assist in events hosted by the Office of Academic Affairs as needed
  • Maintain the general email ado@dts.edu
  • Scheduling academic affairs staff meetings and events.
  • Order and manage supplies for the office
  • Submit facilities and IT work requests as needed 
  • Assist with other administrative tasks as needed

 

Qualifications

  • Must enjoy working with and interacting with others 
  • Strong written and verbal communication skills 
  • Able to communicate interdepartmentally 
  • Able to multi-task in a fast-paced environment 
  • Must have good organizational skills and attention to details   
  • Must have computer experience and be familiar with Microsoft Office Suite
  • Must have strong telephone skills 
  • Must be flexible 
  • Must have positive personality 
  • Must have good attendance and be punctual 
  • Must be able to handle confidential materials 
Education and Experience
  • Bachelor’s degree preferred.  
  • Familiarity with DTS 
  • Proficiency in Microsoft Office Suite, including Word, Excel, Teams, and Forms
  • Typing: 60 words per minute  
  • Familiarity with database systems
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
