The Payroll Specialist is responsible for the accurate and timely processing of payroll, ensuring compliance with federal, state, and local regulations. This role oversees payroll operations, manages payroll-related audits, and ensures the efficient use of Paycom for payroll processing, reporting, and compliance. Additionally, the Payroll Specialist is responsible for employee mandatory training administration, including Title IX and other compliance-based training, as well as managing payroll-related communications on the company intranet.

Duties/Responsibilities

Payroll Processing & Management:
-
Oversee and process payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.

Maintain payroll schedules, process payroll adjustments, and handle off-cycle payrolls as needed.

Ensure compliance with federal, state, and local tax laws, including proper tax withholding and reporting.

Utilize Paycom to manage payroll functions, automate workflows, and improve payroll efficiency.

Audits & Compliance:

Lead payroll-related audits, including annual financial and benefits audits, ensuring all documentation is accurate and accessible.

Maintain records and reports required for internal and external audits, working closely with finance and HR leadership.

Ensure proper reporting and reconciliation of payroll data, including tax filings and year-end reporting (W-2s, 1099s).

Mandatory Training Administration:

Manage the administration of mandatory employee training, including Title IX, workplace harassment prevention, cybersecurity awareness, and other compliance training.

Use Paycom to track training completions, send reminders, and generate reports for compliance audits.

Collaborate with HR leadership to update training materials and ensure all employees meet regulatory requirements.

Serve as the primary point of contact for employee questions regarding required training.

HRIS & Payroll System Administration:

Optimize Paycom functionalities for payroll processing, training management, reporting, and compliance tracking.

Ensure payroll and training data integrity and troubleshoot system issues as needed.

Generate and analyze payroll and training reports to support compliance, budgeting, and forecasting efforts.

Employee Support & Communication:

Serve as the primary point of contact for payroll and training-related questions and concerns.

Educate employees on payroll processes, direct deposits, tax withholdings, and training requirements.

Address and resolve payroll and training discrepancies and employee inquiries in a timely manner.

Intranet Communications & Employee Engagement:

Create and maintain payroll and training-related content on the company intranet, ensuring employees have access to up-to-date information.

Develop FAQs, guides, and announcements related to payroll policies, training deadlines, and system updates.

Collaborate with HR and internal communications teams to ensure clear and effective messaging regarding payroll and training processes and changes.

Process Improvement & Best Practices:

Continuously evaluate payroll and training processes and identify opportunities for automation and efficiency using Paycom.

Stay updated on payroll laws, tax regulations, training requirements, and best practices to ensure compliance and improve operations.

Develop and maintain payroll and training policies and procedures.
