PRIMARY PURPOSE:  The purpose of this position is to provide high-level administrative support to the Pastor and Director of Operations. The incumbent will assist with managing the database, the Safe Environment Program, and recording sacrificial giving in the ParishStaq.  

 

DIMENSIONS:  St. Michael Parish & School serves the needs of approximately 2600 registered families and 7,000 individuals in the cities of Olympia and Tumwater and Thurston County, Washington. 

 

 

NATURE AND SCOPE: This position is a full-time, 40-hour-per-week, non-exempt position. Normal workdays are Sunday through Thursday.

 

MAIN JOB RESPONSIBILITY

  • Performs administrative functions for the pastor.
  • Draft and prepare internal and external correspondence as needed.
  • Fields calls and appointment requests for the pastor.
  • Maintains calendar, processes messages, invitations, etc. for pastor.
  • Serves as a communication link within the parish family for its staff members, parishioners, committee members, vendors and others who may be visiting or calling the pastor.
  • Responsible for the input and maintenance of overall parish database records and maintenance of records in assigned areas of program support. Adds, changes, or inactivates parishioner profiles. Post donations to Pushpay
  • Responsible for the administration of the Safe Environment Program, to include coordination with staff to ensure ongoing compliance, records management, and notifications and coordination for certification training.
  • ​​​​​​​Create new campaign in Pushpay.
  • Record pledges for campaign.
  • Mail pledges cards to CSC (Catholic Stewardship Consultants) during stewardship renewal.
  • Provides Director of Operations with updated information on the progress of the Campaign as requested. 
  • Sends out End of year statements
  • Updated and maintains new registration forms. Responsible for mailing welcome packets and monitoring responses new parishioner.
  • Admindesk Support – Support projects and admin request that come through our Admindesk as time permits.
  • Provides backup support for front desk.
  • Attends all staff and admin team meetings.
  • Performs other duties as assigned.

Qualifications

  • Willingness and ability to support the mission of the Church.
  • Desire to serve Parish Family in support of the collaboration between lay and ordained ministers.
  • Active member of a parish/faith community and in good standing with the Church.
  • Bachelor’s degree preferred.
  • 3+ years of demonstrated experience in professional administrative work.
  • Proficient in Microsoft Office Suite.
  • Ability to facilitate meetings, primarily among parishioners, councils, commissions and public.
  • Possess emotional intelligence skills and ability to build trust with pastor, parochial vicar, leadership team, pastoral council, and parishioners.
  • Strong verbal and written communication skills.
  • Parish or Catholic ministry experience a plus.

 

 

Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
