SUMMARY

The Director of Facilities leads the facilities and maintenance team in overseeing daily operations across all company properties. This role is responsible for setting departmental goals, managing work order priorities, and ensuring timely completion of maintenance tasks. The Director develops and implements preventive maintenance plans, evaluates project scopes, and determines whether work is completed in-house or outsourced. They coordinate with contractors, secure necessary permits, and ensure compliance with safety regulations and budgetary guidelines. In collaboration with agency leadership and the Manager of Facilities, the Director of Facilities executes facility-related projects and supports strategic initiatives that promote operational efficiency and regulatory compliance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Sets overall department goals, processes, and procedures to accomplish company objectives
  • Supervises employees assigned to the maintenance team.
  • Acts as primary person responsible for reviewing work orders.
  • Establishes maintenance and facilities priorities when reviewing work orders
  • Establishes and adjusts work procedures to ensure timely completion of tasks in alignment with operational schedules and priorities
  • Communicates and coordinates people and tasks to resolve work orders and other maintenance/facilities related tasks
  • Determines if the company outsources projects or the maintenance team will complete the work for a project.
  • Directs, educates, and assists team members who are performing maintenance/facilities related tasks
  • Completes maintenance related tasks identified by the company
  • Manages maintenance requests from outside tenants and ensures timely communication of maintenance projects impacting them
  • Responsible for obtaining occupancy permits and securing all necessary permits for building renovations, reconstruction, and related facility projects.
  • Responsible for meeting contractors to discuss project scope and requirements and for providing necessary information to facilitate accurate quoting and proposal development
  • Will be part of a rotational on-call system
  • Collaborates with the Manager of Facilities to oversee and execute facility-related projects (securing and reviewing contractor bids, scheduling and tracking project progress, coordinating project progress with contractors/vendors)
  • Responsible for developing and implementing a comprehensive preventive maintenance plan for the company’s facilities, including tracking associated work and ensuring timely completion in alignment with the established schedule
  • Participates in company audits related to facilities, homes, auto fleet, etc.
  • Actively stays abreast of industry reforms and corporate initiatives, and provides communication and implementation of those initiatives
  • Supports cost savings objectives and implement best practices in support of budgeted initiatives
  • Ensures all health, safety, and regulations are being followed
  • Maintains company facilities in accordance with relevant regulations and safety codes
  • Confers with department directors and other management staff as needed to coordinate maintenance activities of individual departments
  • Notifies Chief Financial Officer when facility maintenance costs are not following the agreed upon or budget details
  • Inspects completed work for conformity to specifications and standards
  • Analyzes and resolves work programs and assist team in solving work problems
  • Maintains OSHA and fire code compliance
  • Provides technical support and quality assurance guidance
  • Participates in the locating and evaluation of additional facilities
  • Collaborates with the Manager of Facilities in the acquisition, disposal, third-party repairs and maintenance of the company’s automobile fleet
  • Acts as a liaison between the company and contractors/vendors
  • Develops and maintains good working relationships with all business partners and community points of contact.
  • Complete trainings required by law or regulation.
  • Other duties as assigned

Qualifications

  • Possesses an understanding of all applicable safety regulations
  • Demonstrated ability to run a successful maintenance department
  • Experience in facilities management
  • Possesses good communication skills and computer literate including in facilities management systems and MS Excel
  • Previous supervisory experience is required
  • Strong analytical, negotiating, contracts and problem-solving skills
  • Strong oral, written and verbal communication skills
  • Possesses skills necessary for accomplishing repairs on buildings and systems
  • Possesses diagnostic abilities and skills in completing details
  • Ability to prioritize and work on multiple projects with various disruptions
  • Highest ethical standards with no conflicts of interest

WORKING CONDITIONS


  1. Primarily administrative with exposure to construction and repair materials, fluids, toners and ink cartridges;
  2. Seasonal displays may include hay, pine needles, flowers, etc.;
  3. Outside weather conditions at times;
  4. Noise level can be high at time
  5. This is not a work from home (remote) position.

 

EDUCATION


Bachelor’s degree or equivalent work experience in facilities management with management/technical emphasis required. Preferred Certifications include Facility Management Professional (FMP), Certified Facility Manager (CFM), Certified Maintenance & Reliability Professional (CMRP), Certified Health Care Facility Manager (CHFM), Certified Safety Professional (CSP), and Project Management Professional (PMP).
