Overview
We’re looking for a detail-oriented and proactive Client Services Coordinator to support both Project Management and Account Management functions across client accounts—with a stronger focus on internal planning, coordination, and process support. This role is ideal for someone with 1–3 years of agency or client services experience who is eager to grow in a fast-paced, collaborative environment and build a solid foundation in both account and project management.

The Client Services Coordinator will play a key role in helping ensure client work is delivered on time, on budget, and aligned with client goals—while also supporting internal teams with clear communication, task coordination, and documentation. While the primary focus will be on project coordination, this person will also have account management responsibilities on smaller clients or as delegated by senior team members.

Key Responsibilities

Project Coordination

  • Build and maintain project timelines, deliverables, and tasks in project management software
  • Help define priorities and allocate internal resources in coordination with project managers
  • Coordinate with internal departments to ensure all requirements are clearly communicated and executed
  • Maintain client files, project assets, and documentation for internal reference
  • Support internal meetings with scheduling, agendas, recaps, and documentation
  • Proof internal work to ensure alignment with client expectations and accuracy of delivery
  • Learn and apply TJA’s processes around billing, time tracking, reporting, and delivery
  • Support project managers across client work as needed, helping pinch-hit on overflow or smaller tasks

Account Support

  • Own client relationships for assigned accounts less than $7,500/month
  • Assist account managers in collecting inputs, drafting client communications, and planning meetings
  • Contribute to proposals, SOWs, change orders, and estimates in collaboration with the account team
  • Participate in client calls, take notes, and help capture next steps and deliverables
  • Help maintain positive, solution-oriented relationships with clients through responsiveness and follow-up
  • Understand the client’s business, industry, and goals to better support project prioritization
  • Support team in identifying and communicating organic growth or upsell opportunities

Qualifications

  • 1–3 years of agency, in-house marketing, or client service experience
  • Comfortable working across multiple projects and teams with tight deadlines
  • A highly organized self-starter who takes initiative and thrives on problem-solving
  • Clear, articulate communicator—both written and verbal—with a high attention to detail
  • Familiar with (or eager to learn) project management systems, workflows, and task planning
  • Collaborative, team-first mindset with a desire to grow into a larger account or project management role
  • Able to balance proactive ownership with a willingness to take direction and support others
  • Bonus: Experience in creative, marketing, or integrated agency environments
