Role:   Finance Specialist 

Reports to:   Business & Finance Manager 

Employment:   Hourly, Non-exempt, 1.0 FTE, full-time 

Schedule:   Monday – Friday – flexible hours.

Location: Quest Center – Multnomah; up to 1 day a week working from home 

 

As our Finance Specialist, you will be a vital part of our Administrative Team. Your core responsibilities will be completing daily, weekly and monthly tasks with accuracy and efficiency. We’re looking for someone who is detail oriented, taking the time to double-check their work and to ensure accuracy. FINANCE RESPONSIBILITIES (75% of your role)

As a member of our small department, you’ll be working on collaboration with our Billing & Finance Manager, our Senior Director of Operations, and our contracted CPA to collaborate and tackle the weekly, daily, and monthly tasks required to maintain healthy and reliable financials. These tasks include, but are not limited to: 

  • Review, post, and store our daily bank statements, deposits, and daily expenditures, 

  • Scan, copy and organize receipts for billable contracts and invoices, using electronic record keeping for compliance with auditing requirements, 

  • Organizing and posting weekly bank logs and reconciling invoices, 

  • Preparing bi-monthly bank deposits in coordination with the Administrative Team, including running to the bank for deposits and petty cash to ensure our teams have what they need, 

  • Preparing, reviewing, and sending monthly invoices to contractors and contracts, as directed 

  • You will be a power user of Quickbooks online, Excel, Microsoft Share Drive, and our online banking systems,  

  • Additional duties will be assigned as you learn the role and find the areas you’re interested in learning and developing, 

 

MEDICAL BILLING RESPONSIBILITIES (25% of your role): 

As a member of our Medical Billing/Business Office Team, you’ll provide back-up and vacation coverage for other members of the department. To begin with, you’ll take on ownership over processing some of our MMIS Claims. As you learn more about the team, you’ll also learn to provide coverage for additional responsibilities, like:  

  • Posting daily charges into our EMR system, Insync 

  • Supporting our Intake Specialists in checking the more nuanced insurance eligibility with appropriate carriers 

  • Posting payments daily into our EMR system 

  • Requesting the necessary authorizations for services as needed 

  • Back up our Credentialing Specialist 

  • Working with insurance companies to resolve denied claims 

  • Customer service phone calls to help clients understand their statements and balances due, 

  • Internal referrals: Process and verify coverage for integrated services, scheduling appointments per policy 

Qualifications

  • Computer skills: QuickBooks online, Microsoft Suite, and Teams knowledge are required.  A quick learner who will be able to learn our InSync EMR easily. 

  • Organization: Must have excellent organization and time management skills and the ability to prioritize the workload. 

  • Team Player: The qualified candidate will have the ability to work with others as a part of our team; offering ideas and problem solving and will also know when to ask for help if needed.  The qualified candidate will be able to perform well in a fast-paced, demanding work environment. 

  • Customer service: Must have excellent communications skills, and experience working with people; both on the phone and in person. 

  • Must have 2+ years of Nonprofit Finance experience (Quickbooks online experience preferred) 

  • Preference given to those who have 1+ years of Medical Billing experience.
