We are looking for a highly organized and proactive Network Associate to join our team. In this role, you will play a critical part in supporting the Executive Director, Executive Team, and senior leadership by managing calendars, coordinating key meetings and events, and helping ensure smooth day-to-day operations across the network. Your work will enhance our internal systems and communication, directly contributing to the effectiveness of our leadership and the success of our broader mission.

The Executive Administrative Associate reports directly to the Senior Manager of Network and Community.

Responsibilities and Duties

  • Manage the calendar and tasks for the Executive Director
  • Provide calendaring support for the Executive Team as needed
  • Exercise independent judgment in prioritizing and managing executive calendars, making scheduling decisions that align with strategic priorities
  • Coordinate scheduling and logistics for senior leadership team meetings, retreats, and planning sessions.
  • Handle highly sensitive and confidential information with discretion, including financial data, personnel matters, and strategic initiatives
  • Anticipate executive needs and proactively address potential issues before they arise
  • Create, maintain and circulate appropriate documentation of:
    •  decisions, delegation of responsibilities
    •  upcoming needs, events, meetings, etc.
  • Support business and operational functions at the network level, including but not limited to:
    • Coordinating network-wide food orders
    • Providing individual support for impacted community members
    • Managing shared network spaces
  • Assist the Communications and Development team by collecting and aggregating key information for organization-wide efforts, including but not limited to:
    • Family updates
    • Proposals
    • Surveys
  • Other
    • Participate in meetings and training as requested
    • Other duties as assigned

 Other Job Details

  • Schedule: 8 hour day, Monday thru Friday 
  • Location: Network position meaning will serve at both campuses. 
  • This position does not have any direct reports 
  • Position Type: This is a 12-month salaried position which is exempt and therefore not eligible for overtime pay under the provisions of the Fair Labor Standards Act
  • Employment subject to TB test, fingerprinting and background check

Qualifications

Qualifications, Skills and Values

 

Qualifications Required: 

  • Bachelor’s degree or equivalent professional experience in administration, operations, or a related field
  • Minimum of 2–3 years of experience in administrative support, operations, or project coordination, preferably in a fast-paced, mission-driven environment
  • Strong proficiency with calendar management tools (e.g., Google Calendar, Outlook), and comfort navigating Zoom or other virtual meeting platforms
  • Experience using productivity and collaboration tools, including Google Workspace (Docs, Sheets, Forms), and project management systems
  • Excellent written and verbal communication skills, with the ability to gather and organize information clearly
  • High attention to detail, strong organizational skills, and the ability to manage multiple tasks and priorities with discretion and professionalism

Qualifications Preferred: 

  • Bilingual in English and Spanish, with the ability to communicate effectively across diverse communities
  • Prior experience supporting executive or senior leadership teams in a nonprofit, education, or mission-driven organization
  • Familiarity with technical platforms for communications and development tools 
  • Experience coordinating logistics for events, retreats, or multi-stakeholder meetings
  • Comfort working in a dynamic, fast-paced environment with a high degree of adaptability and initiative
