The ThisGen Administrative Assistant provides administrative and project support to the ThisGen ministry, to create opportunities for Kids and Students to experience spiritual transformation.
Primary Duties
Pastoral Support
- Calendar Management
- Schedule appointments, meetings, and events for the pastors.
- Remind the pastors of upcoming commitments and deadlines.
- Assist the pastors in managing their daily schedule and prioritizing tasks.
- Communication Management
- Handle phone calls, emails, and other forms of communication on behalf of the pastors.
- Maintain an organized system for incoming and outgoing correspondence.
- Meeting Support
- Coordinate and schedule meetings for the pastors.
- Take minutes during meetings and distribute them as necessary.
- Research and Preparation
- Conduct research and gather information as requested
- Assist in the preparation of documents, communication, or other materials.
- Other Duties as assigned, including:
- Planning and booking travel arrangements for the pastors, including flights, accommodations, and transportation.
- Assist with memorials assigned to the pastors.
- Manage office supplies and order new ones as needed.
- Assist with basic troubleshooting of computer equipment and digital tools or coordinating with IT support when needed.
Team Administrative Support
- Assist with ThisGen Social Media accounts
- Perform consistent weekly check ins with all ThisGen office team members to coordinate specific administrative needs coverage
- Execute the First Time Guest follow-up process, weekly Attendance Reports, and absent Kids and Students follow-up process
- Coordinate the planning and execution of Kids and Students events following the event planning process
- Coordinate with the Baptism Team lead to follow up with Kids and Students who have been baptized
- Oversee annual age/grade promotions
- Ensure a smooth transition in the PCO database
- Ensure a smooth experience for all parents, Kids and Students
- Receive, process, and follow up on requests for information or involvement regarding ThisGen Ministries
- Create printed materials for advertisement and informational purposes for programs, services, and content under the ThisGen Team
- Manage room and resource reservations for the team
Other Duties
- Attend weekly 1:1, team and staff meetings, including retreats
- Adhere to all church policies and procedures
- Prepare purchase orders and check requests as needed
- Work assigned duties during “All Hands On Deck” events such as Christmas and Easter services
- Other duties as assigned
