Position Details:

We are seeking a highly experienced and tech-savvy Executive Assistant to support our C-level leadership team. As a trusted collaborator, you’ll provide high-level administrative support, manage complex schedules, coordinate executive meetings, and streamline communication across departments. This role requires someone based in Maryland with 8–10 years of executive support experience in fast-paced, dynamic environments. You’ll play a key role in keeping the executive organized, focused, and aligned with company goals while also supporting other senior leaders.

Responsibilities:

Executive & Administrative Support:

  • Manage complex calendars and coordinate high-level meetings for executives. 
  • Prepare materials for meetings, ensuring executives have relevant documents, reports, and presentations.
  • Provide personal support to the executive, ensuring seamless daily operations.
  • Support multiple C-suite executives with administrative tasks and operational needs.
  • Monitor and follow up on deadlines, ensuring timely execution of priorities.
  • Assist in setting strategic goals for the executive, tracking progress, and reporting outcomes.
  • Facilitate effective communication across various teams and departments.
  • Plan and coordinate travel, including air and ground transportation, hotel reservations, and itineraries.
  • Handle highly confidential and sensitive company matters with discretion and tact.

Qualifications

Requirements:

Experience: 8-10 years of executive assistant experience supporting C-level executives.

Technical Skills:

  • Proficient with Mac systems
  • Competence in  Microsoft Office Suite (Outlook, Excel, PowerPoint, Word), Fellow, and Slack
  • Comfortable using or learning AI-based tools to improve efficiency and communication
  • Ability to quickly adopt new technologies and optimize workflows

Soft Skills:

  • Excellent communication and interpersonal skills with the ability to collaborate seamlessly across teams and departments.
  • Highly organized, with excellent time management and multitasking abilities
  • Strong attention to detail, especially when tracking deadlines and managing executive priorities
  • Discreet and professional when handling confidential or sensitive information
