The Proposal Specialist works closely with Marketing Managers, Pursuit Managers, Office Managers, Operational Staff, and the Marketing and Business Development team to lead procurement response efforts and enforce best practices relative to the procurement response approach.


Your Impact

  • Collaborate with technical staff and the marketing team to respond to Requests for Qualifications/Letters of Interest and Requests for Proposals, ensuring our responses align with client needs and expectations.

  • Review and interpret solicitation documents to ensure compliance and that proposal strategies are clearly reflected throughout.

  • Lead the submittal review process, schedule meetings, issue internal/external data calls, and develop both schedules and compliance documents to ensure timely and quality submissions.

  • Contribute to and help shape pursuit strategy by identifying key messages, win themes, and differentiators while assembling a cohesive, strategic team to meet client needs.

  • Develop, write, and format proposal submittals and interview presentation materials, editing and refining content from technical and lead staff to align with pursuit strategy.

  • Create figures and graphics that enhance proposal content and interview materials, ensuring visual cohesion with written narratives.

  • Craft and tailor employee bios, project descriptions, and qualification collateral by interviewing technical staff and using insights to build compelling content.

  • Lead the preparation of materials for formal client presentations, providing creative input and ensuring alignment with the overarching strategy.

  • Conduct research and make recommendations to enhance proposal materials, presentation formats, and other marketing collateral.

  • Ensure compliance with proposal management documents, including schedules, outlines, and assignments, to streamline the proposal development process.

  • Establish production schedules and manage the proposal development timeline, expediting tasks to ensure deadlines are consistently met.

  • Implement quality control processes across all proposal submissions and marketing collateral to ensure document quality and compliance.

  • Assist with market research and competitive analysis efforts, providing key insights that inform pursuit strategies.

  • Maintain a high level of organization, proactivity, and collaboration, thriving in fast-paced environments with tight deadlines.

  • Demonstrate relentless attention to detail, ensuring all documents meet the highest quality and compliance standards.


Who You Are:

  •  2+ years of experience in a marketing role within the AEC industry, with proven proposal and pursuit management skills.

  • You are highly proficient in responding to DOT solicitations, with a deep understanding of the precertification process.

  • You hold a strong working knowledge of the AEC industry, its markets, and service lines, and you’re passionate about developing winning strategies that set your team apart.

  • You possess an undergraduate degree in marketing, communications, or a related field, and you bring expertise in Adobe InDesign for document layout and graphics as well as Microsoft PowerPoint for creating engaging presentations.

  • Experience with CRM systems (Deltek Vision preferred) is a plus.

  • As a self-starter, you excel in both written and oral communication and are adept at working independently as well as part of a collaborative team.

Work Environment
