Description

The School Bus Dispatcher – Field Trip Coordinator plays a key role in managing transportation logistics for field trips and special events. This position is responsible for processing incoming trips, ordering field trips and ensuring smooth coordination with schools, drivers, and other stakeholders. Key Responsibilities:

  • Receive, review, and process incoming trips from schools, athletic departments, and other approved organizations for payroll and ordering.
  • Ensure all trip documentation is accurate, complete, and submitted in a timely manner (e.g., trip slips, invoices, confirmations).
  • Enter trip data into dispatching software systems and maintain accurate records of scheduled and completed trips.
  • Serve as the primary point of contact for field trip logistics, last-minute changes, or cancellations.
  • Track mileage, trip duration, and other relevant metrics for billing and reporting purposes.
  • Provide excellent customer service to school personnel and maintain professional relationships.
  • Assist with general dispatch duties as needed, including answering phones and supporting daily transportation operations.
  • Drive daily AM and PM school bus routes

Qualifications

  • High school diploma or equivalent required; post-secondary coursework or certification in logistics or dispatching is a plus.
  • Minimum of 1–2 years of experience in a transportation, logistics, or dispatch role, preferably in a school bus or public transportation setting.
  • Proficient in using dispatching software, scheduling tools, and Microsoft Office Suite (Excel, Word, Outlook).
  • Current CDL with P & S endorsements (Company will train, if necessary.)
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities with attention to detail.
  • Ability to multitask in a fast-paced environment and remain calm under pressure.
  • Knowledge of geography, school district boundaries, and local traffic patterns is helpful.
  • Friendly, professional demeanor with a commitment to safety, reliability, and customer service.

Work Environment:

  • Combination of office-based position with daily school bus route driving.
  • Must be available during standard school transportation hours and occasionally during early mornings, evenings, or weekends for special events or emergencies.
  • May require occasional lifting of up to 25 lbs (i.e., trip folders, files).
