Descriptive Summary

The Assistant Director supports the Director in the overall leadership and management of the Laurel Learning Center (LLC). This role ensures that daily operations run smoothly, staff and families are supported, and classrooms meet state licensing, health and safety regulations, and quality standards. The Assistant Director provides direct supervision of foodservice and administrative functions, supports family engagement, coordinates volunteers, and assists with staff scheduling and coverage. The Assistant Director also oversees use of ProCare, ensuring accurate records, reporting, billing support, and family communication. The Assistant Director assumes full responsibility for center leadership in the absence of the Director.

Qualifications

Essential Functions

Program Operations & Compliance

  • Support the Director in ensuring compliance with all state and local licensing regulations and CACFP food program requirements.
  • Monitor daily classroom ratios and staff schedules to ensure coverage and compliance.
  • Conduct regular classroom observations and develop plans of action to support high-quality environments.
  • Substitute in classrooms as needed to maintain program quality and continuity of care.
  • Assist with the implementation of the approved licensing curriculum. 

Staff Support & Development

  • Provide coaching, mentoring, and feedback to teaching staff in collaboration with the Director and Education Specialist.
  • Identify staff training needs and recommend resources or external supports.
  • Foster a positive, professional work environment that supports staff well-being and collaboration.

Family & Community Engagement

  • Build strong, culturally responsive relationships with families.
  • Coordinate family orientation, communication, education opportunities, and surveys to gather feedback.
  • Manage the parent resource area and coordinate volunteer and donation efforts.
  • Encourage and support active parent involvement in center operations and decision-making.

Administrative, ProCare, & Operational Duties

  • Oversee daily use of ProCare to ensure accurate attendance, staff timekeeping, and classroom ratio tracking.
  • Maintain up-to-date child, family, and staff records in ProCare, including enrollment, health, and emergency information.
  • Support billing and tuition tracking in collaboration with the Director and Cornerstones’ Finance team.
  • Train and support staff in effective use of ProCare for attendance, documentation, and parent communication.
  • Monitor system reports to support compliance with licensing.
  • Troubleshoot ProCare issues and serve as liaison with Cornerstones’ IT or ProCare support as needed.
  • Supervise the Food Service Coordinator/Kitchen Manager and ensure compliance with USDA CACFP requirements.
  • Oversee food purchasing, menu planning, and kitchen safety.
  • Assist with field trip planning, special events, and enrichment activities.
  • Support budget oversight by monitoring purchases and resource allocation.
  • Coordinate facility needs such as ordering sand, mulch, and maintaining safe environments.

Leadership & Representation

  • Serve as Acting Director in the absence of the Director, including decision-making authority.
  • Represent LLC positively with families, community partners, and Cornerstones leadership.
  • Collaborate with the Director to ensure alignment with Cornerstones’ mission and policies.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Bachelor’s degree in childcare or related field plus at least 3 years of related experience.
  • 2 years of experience in with supervising teachers
  • Current certification in Child Care preferred.
  • Verbal and written proficiency in English and Spanish.
  • Proficiency with Microsoft Office suite or related software.
  • Experience with licensed curriculums in childcare
  • Advanced skills in data base, billing and parent communications.
  • Effective verbal and written communication skills with staff, clients, volunteers.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving skills.
  • Strong customer service and interpersonal skills.
  • Detail-oriented, with strong attention to follow-through.
  • Ability to work collaboratively with others and as a member of a team.
  • Ability to prioritize tasks and delegate them when necessary.
  • Must be detailed, flexible, and able to work accurately under pressure and meet deadlines.
  • Must be responsible, dependable, and display the highest level of integrity. 
  • Must have a valid drivers’ license with no history of significant accidents or moving violations

Work Environment

  • The work is performed in a typical office environment
  • Some work is performed outdoors in both the winter and summer.
  • Occasional driving or personal or Cornerstones’ vehicle.
