Summary
Maintain Medical records by filing information into patient’s EHR charts, faxing medical records upon request, and maintaining the fax folders. Perform work with a focus on effective communication with the patient, coworkers, and the physician. Demonstrate cooperation with coworkers while striving to ensure the highest level of patient care and customer service, representing EHN in a professional manner at all times.
Supervisory Responsibilities
This position does not have supervisory responsibility but will provide guidance to employees and/or assist with orientation and training of new employees of the work group.
Primary Duties and Responsibilities
- Manage Main Fax folder.
- Answer incoming calls from facilities, patients, or outside clinics wanting medical records.
- Prepare courier for daily outgoing delivery and disperse the incoming stuff from courier.
- File incoming faxes to the correct fax folder or scan into EHR if needed.
- Make sure outgoing mail gets postage before mail carrier arrives daily.
- Disperse incoming mail to the proper person, provider, or department.
- Request, receive and transfer medical records to and from the other EHN locations as necessary to ensure accurate and timely medical information is provided to ophthalmologists, optometrists, and technicians.
- Maintain knowledge of HIPAA laws and guidelines
- Copy and send medical records outside EHN as requested upon receipt of appropriate authorization well within legal time limits.
- Demonstrate team values through cooperation and consideration of coworkers; foster goodwill among coworker by providing assistance when needed and sharing information that helps others do their jobs; interact with tact, courtesy and diplomacy.
- Manage and document in the PHI log in a timely manner.
- Contact PCP, hospital, or other facility if provider or tech is requesting labs or radiology results and notify provider when results come in through the PAQ system.
- Protect confidential patient information and use good judgment in sharing patient information in a manner that is consistent with patient care and current laws and regulations, including HIPAA.
- Adhere to all safety standards as established by company policy and OSHA requirements.
- Perform work in compliance with company policies, department procedures and regulatory requirements, including State and Federal laws and regulations.

Secondary Functions
- Put away office supply stock in the correct places.
- Other duties which may be necessary or desirable to serve the patient and support the success of the department or the company overall.
Education and/or Experience; Certificates, Licenses, and Registrations (Minimum Requirements)
- Education Requirements (high school diploma, college degree, etc.)
- Minimum of 1 year experience preferred and if not will train.
- An equivalent combination of education, experience and training that would provide the knowledge, skills and abilities required for the successful performance of the essential job duties.

Physical Demands / Work Environment
- Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
- Majority of work is performed in a general office environment. Exposure to moderate levels of noise in a well-lit, well-ventilated, and moderately paced environment.
- This position requires manual/finger dexterity as necessary to perform daily job duties.
- Occasionally required to stand and/or walk for extended periods of time.
- Occasionally required to sit for extended periods of time.
- Frequently required to reach with hands and arms; lift, push, pull and/or carry objects up to 20 pounds.
- Occasionally required to bend, squat, stoop, or twist.
