Description

The Operations Support Specialist is a role that supports our teledentistry operations by supporting scheduling both new patient and recall appointments for both general dentistry and hygiene.  This role will be able to accept ownership for effectively solving patient scheduling issues.  This person should be polite and professional and provide outstanding customer service.

 

Essential Duties and Responsibilities

  • Monitor schedule for teledentistry patients
  • Contacts offices and supports them to schedule and/or complete hygiene and treatment planning
  • Manage schedule issues that arise and assist with troubleshooting
  • Create and build reports as needed
  • With focus on assisting the dental practices with Schedule Support
  • Follows general communication scripts when communicating with dental offices to manage various topics
  • Engages in active listening with callers, confirming or clarifying information through positive interaction
  • Communicates clearly and politely
  • Meets personal/team qualitative and quantitative targets
  • Assist with general admin duties related to teledentistry, including but not limited to, arranging training and regular meetings
  • Perform other duties, as assigned.

Qualifications

Knowledge, Skills and Abilities

  • Strong customer focus and service skills
  • Knowledge of Coast’s scheduling format a plus
  • Data entry skills
  • Track record of over-achieving quotas
  • Strong phone and verbal communication skills
  • Strong active listening skills
  • Proficient in Microsoft Office (Outlook, Word, Teams, and Excel).
  • Strong customer focus and adaptability to different personality types
  • Able to multi-task, set priorities and manage time effectively
  • Displays strong adaptability and accountability

Qualifications (Experience, Education, Licensure, Certification)

  • High school degree or equivalent
  • Proficiency with computers, especially with CRM software, and strong typing skills
  • Proficiency with Polycom phones and 8x8 telephone software a plus
