In an environment of continuous quality improvement, the Medical Staff Services Specialist is responsible for managing workflow for all aspects of Medical Staff Services as the tactical department that supports medical staff organizational activities that include credentialing, privileging, quality improvement activities and medical staff organization governance. The Medical Staff Services Specialist works collaboratively with Medical Staff Officers and Leaders, Hospital Leadership Staff, Advanced Practice Professionals, Legal, and/or certification agencies and outside agencies as needed to assist with and maintain policies, privileges, and processes through the approval process defined by hospital policy or Medical Staff Bylaws.

 

Job Functions:

  1. Analyzes and evaluates primary source verification data and documents for initial appointments and reappointments according to hospital and outside regulatory for both hospital and delegated credentialing
  2. Partners with Medical Staff Leaders to develop policies, evaluation standards, and privilege forms based on regulatory changes or hospital service changes
  3. Conducts independent research for special projects with regard to credentialing and privileging as medical specialties and technologies are added.
  4. Liaises with Board Members, Senior Leaders and outside agencies (e.g. the Ohio State Medical Board, the National Practitioner Databank, Board Certification agencies, the Drug Enforcement Agency, and malpractice insurance carriers)
  5. Assists the Medical Staff Officers and Leaders in the coordination, development, review, and communication of the Medical Staff Bylaws and Manuals, and policies relevant to the Medical Staff.
  6. Prepares agendas, attends, records minutes, and coordinates follow-up, for assigned meetings.
  7. Prepares the medical staff quality report, credentials report, and MS president’s report for the Board of Directors agendas
  8. Assists with medical staff orientation and medical staff duties/expectations as defined by hospital and Medical Staff policies.
  9. Assist with workflow of medical staff and advanced practice professional credentialing and privileging in the initial appointment process, reappointment process, and onboarding of providers.
  10. Promotes on-going communication and positive relationships between applicants, primary sources, medical staff member offices, hospital departments, managed care organizations and other hospitals.
  11. Provides support and backup to the Medical Staff Services Coordinator and other duties as required.
  12. Continuous improvement, readiness and review for accreditation body certification (HFAP,ODH, ect.)
  13. Maintain databases for practitioner information such as specialties and demographic information
  14. Clerical duties as required
  15. Assumes all other duties and responsibilities as necessary.

Qualifications

Minimum Education/Experience Required:

  • Bachelor’s Degree in HIM or healthcare related field required.
  • Will consider a minimum of 5 years of experience if currently enrolled in an HIM or healthcare baccalaureate program.
  • 5 years of experience working in a similar role with 2 years of database experience required.
  • Current NAMSS, CPCS, and/or CPMSM certification required within 3 years of hire.

 

Special Knowledge, Skills, Training:

  • Extensive knowledge of corporate compliance issues (HIPAA, HFAP, CMS, etc.)
  • Advanced writing and editorial skills.
  • Ability to make independent procedural decisions and judgments.
  • Skill in establishing priorities with independent coordination of day-to-day aspects.
  • Superior computer skills.
  • Demonstrated knowledge of medical terminology.

 

Compensation Details:  Education, experience, and tenure may be considered along with internal equity when job offers are extended.
