As part of a purposeful team at ASG, an integrated marketing agency that powers progress for corporations, nonprofits, government agencies, and the communities they serve, the New Business, Proposal & Pipeline Manager is a self-motivated, community-oriented professional with a proven track record in acquiring new business. This role is responsible for leading the proposal development process and maintaining the accuracy of the entire sales pipeline, which includes ensuring all sales are correctly tracked to provide accurate forecasting and reports for Finance and Leadership, and actively managing the pipeline to always meet or exceed our sales goals. This role requires strong writing skills, the ability to manage multiple proposals simultaneously, clear and proactive communication with internal teams, disciplined follow-through on commitments, and above all flexible attitude and work management due to deadlines and deliverables that may go beyond the standard business day hours into evenings and/or weekends. This role will collaborate closely with Client Account Managers (CAMs), Finance, and Client Services teams to ensure seamless transitions from proposal to project implementation.

YOUR RESPONSIBILITIES

Proposal Management

  • Identify, track, and qualify relevant RFPs and funding opportunities using Salesforce and other tools. 
  • Review opportunities weekly (including weekends as needed) to determine which to pursue.
  • Enter qualified new opportunities into Salesforce for discussion during Sales qualification meetings.
  • Manage the full proposal process for assigned proposals, including timeline development, stakeholder coordination, document production, and compliance checks.
  • Lead proposal strategy sessions and coordinate with internal and external stakeholders to define win themes, approach, and requirements.
  • Conduct thorough research to gather relevant data and insights for proposal development.
  • Write clear, engaging, and persuasive proposals tailored to the needs of diverse clients, and ensure we provide all answers and data asked of us throughout the process.
  • Work with ASG Branding Team to create samples of work and design templates for proposals.
  • Draft and assemble proposals, presentations, and pitches, including budgets and timelines in a time efficient and effective manner.
  • Convey the capabilities, background, and experience of ASG as it relates to RFPs.
  • Oversee the preparation of presentations in partnership with the Creative team and facilitate rehearsals with presenters.
  • Submit proposals within deadlines to the appropriate parties, including uploading to procurement sites and handling printing/mailing logistics.
  • Identify operational bottlenecks and design budget friendly, lean methodical solutions to improve proposal collaboration across departments.
  • Submit populated contracts for Legal review at least three business days in advance and manage contract negotiations through closure.

Pipeline & Reporting

  • Manage the Salesforce platform and proactively overseeing the accuracy and integrity of the business development pipeline to ensure accuracy for Finance projections.
  • Utilize Salesforce for advanced reporting, analysis, and dashboard creation to provide actionable insights.
  • Initiate proactive follow-ups with contacts for proposals and negotiations.
  • Ensure all Client Account Manager (CAM) sales opportunities are captured in Salesforce and accurately reflected in the pipeline, so that Finance and Leadership reports always align with ASG’s revenue targets and never fall below required thresholds.
  • Responsible for preparing and submitting a weekly sales report to the Director/AD of BD or Sales and/or their designee using the provided template. The standard deadline for this report is Monday by close of business; if ASG is closed on a Monday, the report is due by close of business on the preceding Friday.

Collaboration with Client Accounts & Finance

  • Collaborate with department heads to integrate service strategy, pricing, and timelines into proposals.
  • For every new project, ensure Client Account Managers (CAMs) and Finance have all necessary information for a successful project launch per the established timelines.
  • Coordinate a smooth handoff from the Sales Team to the Client Accounts and Client Service Delivery Teams.
  • Maintain weekly alignment with the Associate Director of Client Accounts.

Organizing & Resource Management

  • Upload and maintain all required data and documents in PSOHub and related systems, including proposal budgets, contracts, and tracking materials.
  • Oversee the contract archival process and the management of other business development documents.
  • Maintain and update certification databases, including submitting new applications and tracking status and expirations proactively.
  • Compile and organize information from various sources to support proposal content.
  • Develop standard assets and templates for proposals, finalist presentations, and pitch materials in coordination with internal departments.
  • Learn and apply Adobe InDesign to format and adapt proposals using the templates provided by the Creative department.

Teamwork & Communication

  • Build trusting and supportive relationships with other departments across ASG, increasing quality participation and information sharing to improve our Win/Loss KPIs.
  • Communicate clearly and proactively with internal and external partners, honoring all commitments and timelines.
  • Uphold respectful collaboration with cross-departmental leads (CAMs, Finance, Creative, etc.).
  • Ensure all time-off requests are proactively communicated to all relevant stakeholders and pre-approved by the CEO to guarantee seamless coverage for pending deliverables.

Perform additional projects, initiatives, duties, responsibilities for any area throughout ASG while demonstrating flexibility and adaptability, for the overall success of the organization as directed by the CEO & Founder, and/or their designee(s).   

Qualifications

YOUR MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Business, Marketing, Communications, or a related field, or equivalent sales experience.
  • 4+ years of experience in grant writing, or proposal writing.
  • 4+ years of experience in sales, new business, and proposal coordination, ideally in a marketing agency or professional services setting.
  • Willingness, ability, and transportation acces to travel within Greater New England to meet clients and attend company events during and after work  hours if required.
  • Internet access required.
  • Flexibility to work beyond standard business hours, including evenings and weekends, to ensure the timely and successful submission of proposals and other key deliverables.
  • Possesses exceptional negotiation, consultative sales, and problem-solving abilities, allowing for a deep understanding of client needs and the crafting of compelling solutions.
  • Strong writing, communication, and time management skills, with ability to work both independently and as part of a team.
  • Highly proficient with Microsoft Office (including Outlook, Teams, Word, Power Point), CRM software (Salesforce highly preferred), Adobe Pro, and Adobe InDesign using these tools to streamline workflow and manage client relationships effectively.
  • Familiarity contracting with State, Government, and Private sectors.
  • Proven experience drafting and managing detailed project plans, ensuring smooth execution and successful outcomes.
  • Proven ability to work independently with minimal supervision while also thriving in a matrix organization, collaborating seamlessly across teams with a proactive, self-motivated approach.
