The Tax Administrative Supervisor can expect to perform the following duties:

 

  • Exhibit polite and professional communication while promptly answering phone calls and email messages, and notifies staff members of important information
  • Communicate with Advisory on the status of clients’ information submission and return preparation
  • Communicate with Clients on the status of their document submission and their return progress
  • Create opportunities for success for the tax team by identifying situations that require specialized communication with Clients and Advisory and designing that communication
  • Assist clients with Software and Portal issues or questions regarding uploading documents
  • Coordinate with the Director of Ops and Tax Executive Team to standardize, monitor, and update Administrative policies and processes across all regions
  • Post copies of Tax Returns to Portal and or SafeSend
  • Assist clients with SafeSend system and uploading of documents.
  • Create and maintain filing systems (electronically)
  • Upload Invoices to clients Portal and/or Safesend for payment
  • Provide information by answering questions and requests
  • Maintain client mailing lists (GFR & Excel Spreadsheets)
  • Use knowledge of department procedures, to prepare routine correspondence, documentation, forms, notices or reports
  • Organize continuing education (CE) seminars and webinars
  • Contribute to team effort by accomplishing related results as needed
  • Set up new clients in Practice, UT, GFR
  • Send Tax Quotes and maintain New Client List tracking lists

Tax & Business Services

  • Along with Director of Operations, oversee the administrative side of tax season, including pre- and post-tax season activities
  • Train new hires on all processes and procedures as approved and outlined in most updated procedure manual
  • Supervise and mentor administrative staff by providing information, educational opportunities, and experiential growth opportunities
  • Facilitate the development and communication of best practices to the Tax Admin team
  • Triage situations with advisors and clients and propose messaging and solutions
  • Track meetings and communications that are required each year to assist in the success of tax season
  • Coordinate and supervise the work of other team members to improve efficiency.
  • Maintain tracking of client information deemed necessary by supervisor, including such items as outstanding issues, due dates, data needed, logistics of tax return delivery, complexity of returns, etc.
  • Assist with final tax return product to deliver to clients via paper or electronic
  • Assist with tax return input, as needed
  • Become proficient in payroll processing, as needed
  • Support the accounting team by performing bank reconciliations, as needed
  • Perform other duties as requested 
  • Maintain team approach by assisting and filling in for others when necessary

 

 

A couple things to note about our Tax Administrative Supervisor position:

 

  • This position can be based in either our Cedar Rapids or Iowa City offices. You will need to travel between the two offices weekly to meet with your team.
  • This position requires in-person support.
  • Typical office hours outside of tax season are Monday-Friday, 8:00AM-5:00PM. During tax season, from Jan.-April, you can expect to work an average of 55-60 hours per week including Saturday's.

The Tax Administrative Supervisor  position typically requires the following qualifications:

 

  • Education: High School Diploma or its equivalent, some college preferred
  • Experience:  5 years progressive success in a similar role preferably in a financial services firm, accounting firm, or a related industry
  • Ability to deal with all levels of personnel as well as clients in a courteous and efficient manner and exercise discretion on confidential matters
  • Proficiency with Word, Excel, Outlook, and PowerPoint
  • Strong organizational skills required. Candidate needs to balance the needs of different timetables.
  • Excellent analytical and project management skills required
  • Must be organized, meticulous, detail-oriented and able to multitask
  • Excellent communication and listening skills
  • Client first attitude
  • Team player, collaborative, able to work with and through others
  • Previous experience with professional tax preparation software, such as Thompson Reuters Ultra Tax a plus

The expected base salary range for this role is $23.50 - $31.55. However, final base pay will be carefully determined based on several factors, including responsibilities, job-related skills, relevant experience, geographic location, and market conditions.
