THE PRACTICE SUPERVISOR IS A PRACTICE MANAGER IN TRAINING; DUTIES MIRROR THE PRACTICE MANAGER.Â
Responsibilities:Â
- Successful management of the day-to-day clinic operationsÂ
- Ensure the office is staffed appropriately and providers' schedules are optimizedÂ
- Verify that clinic staff & new employees receive the required documents, training, login, onboarding, and a clear understanding of the OnePeak mission, vision, and culture.Â
- Place high importance on employee retention and engagement through constant focus on staff development through continuous coaching, delegating, embracing change, adapting to cultural differences, relationship building, and always promoting the OnePeak culture.Â
- Ensure Medical Assistants and Front Desk complete all tasks before leaving for the day. If they cannot complete tasks for some reason, enlist help or assistance to complete them.Â
- Address and resolve staff issues, conflicts, or concerns in a timely and efficient mannerÂ
- Keep in constant communication with staff members and providers to see how they are doing/if you can help/address questions/concerns.Â
- Provide backup and support to front and back offices as neededÂ
- Handle communication regarding billing and scheduling errorsÂ
- Review providers’ schedules for current and next week to ensure all spots are being filledÂ
- Make sure the front desk is maintaining a waitlist for any providers booked out two weeks or moreÂ
- Manage overtime, timecards, time out, and time off requests of staff in your clinicÂ
- Ensure all staff receive appropriate breaks, time out, etcÂ
- Ensure no staff members have unapproved overtime (this may require you to step in and cover for staff that are in OT)Â
- Review inventory and verify that the office is stocked with supplies needed for all upcoming appointmentsÂ
- Perform all duties and responsibilities in EHR/EPM following standardized protocolsÂ
- Send weekly marketing content to the marketing departmentÂ
- Send weekly updates to the operations and facilities teamsÂ
- Maintain the office space/facility as neededÂ
- Address any patient complaints in a timely, professional mannerÂ
- Coordinate with the operations team and upper administration to carry out our strategic visionÂ
- Ensure that Nutrition & Fitness staff and Medical Assistants are prepping charts one day in advanceÂ
- Monitor faxes/documents and assist when ableÂ
- Other administrative tasks and duties assignedÂ
