POSITION: Development  Database and Operations Coordinator 

DEPARTMENT: Development 

FT or PT: FT 

CLASSIFICATION: Annual Salaried 

SCHEDULE: Weekdays and Occasional nights and Weekends 

STATUS: Exempt 

SALARY RANGE: $47,000-$52,000

REPORTS TO: Associate Director of Individual Giving 

 

STATEMENT OF JOB: 

The Development Database and Operations Coordinator is an integral member of The Huntington’s Development team and is responsible for designing, implementing, and maintaining operational procedures for all fundraising activities and initiatives within the Tessitura database and in concert with the Finance department and other departments as necessary.  The individual in this role will serve as the Development department’s point person for tracking donations, generating lists and reporting on progress against annual fund, gala, and campaign goals.  This role will require a high level of accuracy, confidentiality, and integrity.  Prior database experience is required. 

SALARY RANGE: $47,000-$52,000 

 

JOB DUTIES: 

Tessitura Database 

  • Serve as the departmental expert in Tessitura functionality, stay up to date on new developments and skillfully share knowledge and train other users 

  • Conduct all gift entry and processing with consistency and strict attention to detail 

  • Conduct other data entry with accuracy including creating new customer records and tracking event attendance 

  • Execute gift acknowledgement process to ensure that all donations are acknowledged in an accurate and timely manner 

  • Collaborate with development staff and other departments to create standard and custom lists and extractions  

  • Work with development team to generate mailing lists and merge lists for direct mail and email appeals, as well as event invitation lists, invoices, and pledge reminders 

  • Adhere to development best practices and organizational procedures regarding the entry, maintenance and storage of data   

 

Operations 

  • Regularly generate departmental status report to measure progress against fundraising goals 

  • Reconcile with Campaign Manager and Finance Department on a regular basis and as needed 

  • Code expenses and invoices and submit them to the Finance Department in a timely manner 

  • Maintain and produce records required for annual audit 

  • Serve as lead project manager of  iWave wealth screening software to aid department in research and acquisition of new donors 

  • Analyze departmental data to identify trends and measure against key performance indicators 

Qualifications

REQUIREMENTS: 

  • 1-3 years’ experience in fundraising or non-profit operations 

  • Proficiency in a CRM database required; familiarity with Tessitura database preferred 

  • Proficiency with Microsoft Office suite, particularly Excel, is required 

  • Excellent organizational and project management skills with meticulous attention to detail 

  • Proficiency at collaborating, communicating and building relationships within the department and across other departments 

  • Ability to adapt to changing conditions in a fast-paced environment 

  • Creativity, curiosity, and a sense of humor 

  • Experience with data analytics a plus 

  • Interest in the arts, and theatre in particular, a plus
