Description

Physician Affiliate Group of New York, P.C. (PAGNY), a multispecialty medical practice group, staffs several municipal hospitals and clinics within New York City through an affiliation agreement with NYC Health + Hospitals. PAGNY’s corporate staff provides administrative, practice management, and human resources services in support of its nearly 4,000 clinical providers.

The Affiliate Operations Coordinator, for locations in the Bronx Region, is responsible for all aspects of administrative support, employee file maintenance, and ensuring employee files are compliant and kept to required standards. Acting as a backup for the HR team, the Affiliate Operations Coordinator will field employee questions and concerns for follow-up and is expected to serve as the outward facing team member for HR Department.

 

Opportunity Details:

  • Assists Human Resources team with onboarding, continuing medical education (CME) credits tracking, and other related transactions, ensuring all required documents are uploaded to HRIS for employee personnel files.
  • Executes frequent and ongoing file audits, focusing on identifying and following up on any missing documents and expired certifications. Assists with scheduled and unscheduled audits.
  • Manages compliance with mandatory and non-mandatory training, performance assessments, professional licensure, and aptitude exams.
  • Maintains detailed calendars and prioritizes meeting requests and logistics.
  • Supports on-site leadership with taking meeting minutes and prepares correspondence and financial reports.
  • Oversees conference room scheduling and any related catering orders and supplies for special events.
  • Operates and maintains standard office inventory. Reports any malfunctioning equipment, maintenance, or housekeeping issues to site leader, vendors, or building management and notifies staff, when necessary.
  • Receives deliveries, sorts and distributes incoming mail, and organizes outgoing courier deliveries and documents.
  • Prepares and reviews invoices and expense reports in a timely fashion.
  • Assists for locations in the Bronx Region.

Qualifications

  • Associate degree preferred, or equivalent combination of education and/or training
  • At least 2-4 years’ experience in a healthcare setting
  • Previous experience with managing high volume
  • Proven ability to establish and maintain effective working relationships with all levels of staff
  • Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required
  • High attention to detail with the ability prioritize tasks in a deadline driven environment
  • Consistently display the highest degree of integrity, professionalism, and discretion
  • Excellent interpersonal and communication skills
  • On site, in-office presence required
