Overview
The Proposals Specialist plays a critical role in supporting the business development efforts of Maynard Nexsen by coordinating the preparation of high-quality proposals, pitches, and presentations for prospective and existing clients. This position collaborates closely with attorneys, business development teammates, and other stakeholders to create compelling, tailored content that showcases the firm’s expertise and value proposition. The ideal candidate is highly organized, detail-oriented, and skilled in project management and written communication.
Key Responsibilities
- Proposal Management: Coordinate the end-to-end process of developing proposals, including RFPs (Requests for Proposals), RFIs (Requests for Information), and pitch documents, ensuring timely submission and adherence to client requirements.
- Content Development: Draft, edit, and customize proposal content, leveraging firm templates, attorney bios, case studies, and other marketing materials to align with client needs and firm branding.
- Experience Management Software: Learn and utilize Foundation (Litera) experience management software to organize, retrieve, and integrate attorney experience data, case studies, and matter descriptions into proposals and pitches efficiently.
- Collaboration: Work with attorneys, practice group leaders, and business development managers to gather relevant information, such as matter descriptions, industry insights, and client-specific strategies, to craft persuasive narratives.
- Project Coordination: Manage multiple proposal deadlines simultaneously, assign tasks to team members, and ensure all deliverables meet quality standards and are submitted on time.
- Data Management: Maintain and update a centralized database of proposal content, including past submissions, attorney experience, and client feedback, to streamline future proposal efforts.
- Research: Conduct research on prospective clients, industries, and competitors to inform proposal strategies and enhance customization.
- Design and Formatting: Ensure proposals are visually appealing and professionally formatted, adhering to firm branding guidelines and utilizing design software or templates as needed.
- Post-Submission Support: Track proposal outcomes and assist in debriefing sessions to improve future submissions.
Qualifications
- Education: Bachelor’s degree in Marketing, Communications, English, Business, Journalism or a related field.
- Experience: 2–5 years of experience in proposal coordination, business development, or marketing, preferably within a law firm or professional services environment.
- Skills:
- Exceptional written and verbal communication skills, with a keen eye for detail and grammar.
- Strong project management abilities, including the capacity to handle multiple deadlines and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with proposal management software.
- Basic knowledge of graphic design tools (e.g., Adobe InDesign, Canva) is a plus.
- Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
