POSITION SUMMARY

 

The Program Coordinator for the Center for Adult and Continuing Education (CACE) plays a pivotal role in supporting the Center’s mission to expand access, enhance program quality, and promote financial growth. This position supports operational efficiency across CACE programs, including the Adult Degree Program (ADP), HT Online, Alternative Teacher Certification Program (ATCP), and Continuing Education offerings.

 

The Program Coordinator collaborates with the Director of CACE and the Director of Student Services and Admissions to support data-informed decision-making, academic progress, and retention strategies that empower adult learners, working professionals, and future educators to achieve their goals.


TASKS & RESPONSIBILITIES

 

Faculty Services & Course Management

 

  • Monitor and report faculty attendance submissions; ensure compliance with university requirements.
  • Issue reminders for posting attendance, syllabi, final grades, and course publications.
  • Review instructor applications and coordinate the Adjunct Faculty Pool.
  • Support onboarding and orientation of new instructors in partnership with HR and IT.
  • Manage the ADP course catalog and instructor scheduling process.
  • Facilitate instructor approvals, payment processing, and Canvas readiness checks.
  • Monitor instructor certification status, syllabi, and textbook requirements.

 

Program Administration & Operational Support

 

  • Oversee daily operations of assigned programs in alignment with the Director’s strategic goals.
  • Assist with program planning, advisory board coordination, adjunct supervision, classroom oversight, and departmental process improvement.
  • Facilitate communication among the Director, program partners, advisory committees, and faculty.
  • Provide administrative support in preparing grants, proposals, budgets, and strategic reports.
  • Manage procurement, billing, and expenditures aligned with university policies.
  • Serve as custodian of program documentation to ensure compliance with SACSCOC, TEA, THECB, and other credentialing agencies.
  • Address student concerns, oversee course evaluations, and coordinate customer service for instructors and stakeholders.
  • Participate in weekly Professional Learning Community (PLC) meetings.

 

Communications & Development

 

  • Draft and revise program brochures, internal communications, agendas, and contracts.
  • Coordinate and attend conferences, seminars, and meetings aligned with the program’s mission.
  • Evaluate vendors, provide recommendations on contractual partnerships, and support implementation.
  • Organize staff development sessions, instructional demonstrations, and field experiences.

 

Cross Departmental Collaboration

 

  • Cultivate relationships with internal units and external partners to ensure aligned support for CACE students.
  • Maintain program handbooks and website content in collaboration with department leadership.
  • Support student orientation, training sessions, and community outreach efforts.
  • Keep current with innovations and best practices in hybrid and distance learning.

 

Program-Specific Responsibilities

 

Adult Degree Program (ADP)

 

  • Partner with the Director of Student Services to manage faculty support, policy implementation, and procedural updates.

 

Alternative Teacher Certification Program (ATCP)

 

  • Assist with ATCP application and admissions processes.
  • Maintain and evaluate ATCP student transcripts and credential files.
  • Coordinate the candidate exit and program completion process.

 

Continuing Education

 

  • Assist with the design, development, and administration of community-responsive non-credit courses, certifications, workshops, and events.
  • Provide administrative leadership for continuing education initiatives, including curriculum design, logistics, certificates, and materials development.

Qualifications

  • Bachelor’s degree in Education, Business Administration, or related field (Master’s preferred).
  • Minimum of 3–5 years of relevant professional experience.

 

KNOWLEDGE, SKILLS, & ABILITIES

 

  • Demonstrated skills in program coordination, organizational management, and interpersonal communication.
  • Strong leadership and problem-solving capabilities.
  • Proficiency with digital platforms (LMS systems, Microsoft Office, data management tools).
  • Knowledge of trends in adult education, continuing education, and online learning.

 

SUPERVISION

 

  • This position reports to the Director of Center for Adult and Continuing Education.

 

SALARY RANGE

 

  • $38,000 - $43,000 Annually, plus benefits!

 

POSITION STATUS

 

  • Full-time; in-person.

Founded in 1875, Huston-Tillotson University is Austin's first institution of higher education.
