WHAT YOU WILL DO
The Office Manager will oversee the clinic's day-to-day operations to ensure efficiency across all disciplines through a coordinated care model. With the support of clinic directors, the Office Manager's primary responsibilities include, but are not limited to: organizing and updating client records, client relations, managing clinic and individual therapist calendars, evaluating and reviewing office procedures to ensure efficiency with office operations, resolving client issues in accordance with company and foundation policies, procedures, and healthcare regulations, and will provide administrative and secretarial support to leadership as needed.
Review, screen, and prioritize as appropriate all pediatric referrals and intake inquires received.
Establishes new client information in multiple EMR platforms.
Responsible for onboarding new staff hires and ensuring compliance in all systems.
Participate in the creation and maintenance of required clinical documentation.
Be the first line of contact for new client families and determine how to support new families from a coordinated, multidisciplinary approach.
Secures benefits and authorization information from funders.
Maintains clinical schedule for multiple providers and scheduling for additional meetings.
Provide efficient and timely responses to clients, caregivers, and stakeholder inquires.
Develop positive relationships with staff and clients.
Analyze and organize clinical office operations and procedures.
Ensure that patient and clinical employee records are current and accurate.
Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff.
Maintain and update office phone list, email distribution list, and resource information.
Strong time management skills.
Ability to collaborate with multiple departments, including billing, accounts receivable, and insurance funders.
