The Administrative Assistant ensures smooth operations by providing high-level support to leadership. This role involves organizational and communication tasks, requiring a resourceful and well-organized individual capable of managing diverse administrative duties.
Key responsibilities may include:
- Manage and maintain executives' schedules, appointments, expense reports and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for executive and board level purposes in a polished, professional and consistent format.
- Coordinate meetings, record and distribute detailed meeting minutes
- Assist in the preparation of regularly scheduled reports, as requested.
- Handle sensitive information with a high degree of confidentiality and professionalism.
- Performs other duties as assigned.
What We’re Looking For (Nobody’s Perfect, But Experience is a Plus!)
- Minimum of one year's experience in an administrative support role. 3 years' experience supporting at least one C-suite level executive preferred.
- Bachelor's degree preferred.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint & Outlook)
- Proven track record of successfully preparing executive-facing presentations, ensuring a polished, professional look with consistent branding and visual clarity.
- Experienced in streamlining meeting processes by setting clear agendas, limiting meeting duration and ensuring only essential participants are included, thus reducing time waste.
- Processes excellent time management skills and ability to multitask and prioritize work
- Adept at adapting to changing priorities, demands, and timelines with strong analytical and problem-solving abilities.
- Experienced in promoting a positive, team-oriented work environment, valuing collaboration, respect, and mutual support.
- Demonstrates outstanding organizational skills with meticulous attention to detail and ability to successfully problem-solve.
- Ability to communicate clearly and concisely with diverse audiences, both in writing and verbally. Ability to draft communications on behalf of high-level Managers and Leadership.
- A nimble, business-minded individual with a strong focus on developing innovative solutions to operational challenges.
- Holds high standards for quality and precision.
- Experience managing and creating dashboards and reporting, a plus!
- Experience within ClickUp and Smartsheet, a plus!
- Must be able to remain in a stationary position for 80% of the time.
- Must use close visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal and expansive reading.
- Must be able to lift or move items up to 20lbs.
- Must have the ability to move files, open filing cabinets and bend or stand as necessary.
